The Bureau of Administration is committed to delivering strategic support services to strengthen and empower Office of the New York City Comptroller employees as they work toward ensuring the City's fiscal health. We provide service and support in a manner that promotes communication, transparency, and collaboration. These services include Human Resources, Procurement, Payment, Facilities Management, and Budget Management.
The Travel & Directive Coordinator will report directly to the Accounts Payable Unit Chief. Under the supervision of the Unit Chief, the Travel and Directive’s Coordinator will complete Directive 6 review and process reconciliations ensuring the agency adheres to NYC rules and regulations and Comptroller’s Office Directives.
Travel & Directives Coordinator's responsibilities include, but are not limited to the following:
-Coordinate all aspects of domestic and international travel for Agency employees this includes booking flights and hotel lodging.
-Ensure all travel arrangements comply with the Comptroller's Office internal policies and Comptroller’s Directive 6.
-Provide assistance with emergency travel needs, including changes, cancellations, and urgent last-minute bookings.
-Maintain clear and consistent communication with employees to coordinate travel and address any questions, concerns, or issues that may arise.
-Respond promptly to phone calls, emails, and other messages related to travel arrangements or updates.
-Offer real-time support to travelers experiencing disruptions, delays, or unexpected situations.
-Keep accurate records of all travel arrangements, including itineraries, receipts, and documentation needed for reimbursements or reporting.
-Collect all necessary financial documentation from travelers upon their return; review reimbursement requests for Directive 6 compliance and voucher payment in FMS (Financial Management System).
-Generate and submit relevant travel-related reports as required.
-Review and approve Directive 6 procurement requests (other than travel).
-Conduct monthly Travel Card reconciliations for payment processing.
-Review sub-imprest fund & miscellaneous requests to ensure compliance with Directive 3 & 6.
-Manage MetroCard Inventory and Distribution.
-Perform other job duties as directed.

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
-Highly organized with excellent time management and communication skills. -Meticulous attention to detail and skilled in handling compliance-related documentation. -Ability to interpret and apply complex policies accurately. -Problem-solving and critical thinking. -Customer service mindset. -Multitasking in a fast-paced environment.
