Program and Job Description:
The Bureau of Human Resources and Labor Relations is seeking to hire a Training and Development Coordinator for the Office of Training and Professional Development (OTPD).
The Training Coordinator will report directly to the Senior Director of the Office of Training and Professional Development. They will manage the HealthNet learning management system and serve as DCAS Liaison for training requests. The Training Coordinator will update and maintain the OTPD portfolio and catalog and assist with the shareport page. This includes creating content for the catalog and page. They will work closely with the Director of Learning and Development to coordinate training logistics and maintain and manage a document control system.
DUTIES WILL INCLUDE BUT NOT BE LIMITED TO:
- Daily oversight of the HealthNet learning management system, which includes inputting data, tracking attendance, and creating, disseminating and collecting surveys (e.g., employee engagement, needs analysis).
- Serve as DCAS Liaison, which includes budgeting, forecasting and projecting fiscal capacity per division for participation in external programs (e.g., courses, seminars); communicate with internal and external stakeholders to ensure accurate and timely application processing.
- Research, track and analyze trainee learning profiles for institutional compliance and reporting to meet agency, mayoral, government entity and/or external partner requirements.
- Create charts and diagrams that can relay complex data quickly and easily.
- Research and design content for the OTPD catalog and sharepoint page.
- Analyze/interpret qualitative and quantitative training and survey data and produce reports.
- Manage the Training mailbox and respond to training inquiries.
- Oversee training logistics and resources.
- Develop training schedules and register participants.
- Ensure participants meet prerequisites and are in compliance with training requirements.
- Maintain/update internal training activities and run reports.
- Assist with agency training initiatives.
- Assist during in-person and virtual training sessions (e.g., distribute materials, respond to chat), as needed.
- Provide support within the office and at training events, as needed.
- Manage the reproduction and distribution of all training material, including participant and facilitator guides.
- Coordinate site functions and submit AV and room set-up requests.
- Assist with room prep.
- Communicate effectively with all levels of the organization.
- Exhibit excellent communication, customer service and telephone etiquette skills.
- Perform other related duties and responsibilities as requested by the Senior Director of Training and Professional Development and Director of Learning and Development.
1. For Assignment Level I (only physical, biological and environmental sciences and public health) A master's degree from an accredited college or university with a specialization in an appropriate field of physical, biological or environmental science or in public health.
To be appointed to Assignment Level II and above, candidates must have:
1. A doctorate degree from an accredited college or university with specialization in an appropriate field of physical, biological, environmental or social science and one year of full-time experience in a responsible supervisory, administrative or research capacity in the appropriate field of specialization; or
2. A master's degree from an accredited college or university with specialization in an appropriate field of physical, biological, environmental or social science and three years of responsible full-time research experience in the appropriate field of specialization; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least a master's degree in an appropriate field of specialization and at least two years of experience described in "2" above. Two years as a City Research Scientist Level I can be substituted for the experience required in "1" and "2" above.
NOTE:
Probationary Period
Appointments to this position are subject to a minimum probationary period of one year.
- 2-3 years’ experience coordinating training programs and/or managing a learning management system. - Experience in Training, Adult Education, or other related field of study. - Strong knowledge of learning management systems. - Strong working professional knowledge of training and development environments. - Advanced knowledge of and experience with Microsoft Suite (e.g., Word, Excel, PowerPoint) and Adobe Suite (e.g., Photoshop, Illustrator). - Experienced in budgeting, bookkeeping, fiscal analysis. - Excellent communication, customer service and telephone etiquette skills.
