Job Description

The Department of Probation is seeking to hire one (1) Community Coordinator to function as the Timekeeping Supervisor in the Human Resources Division. The Timekeeping Supervisor is responsible for overseeing and managing the timekeeping team to ensure the accurate recording and monitoring of employee schedules and timesheets. This role plays a key part in ensuring compliance with labor laws, maintaining accurate records, and supporting the organization’s workforce operations effectively.
Under the direction of the Director of Timekeeping Services, the responsibilities of the Timekeeping Supervisor include but are not limited to the following:
- Supervise a group of Timekeepers to ensure time and leave records are processed timely and accurately in compliance with agency and citywide policies and procedures.
- Train timekeeping staff on the Unit's day-to-day operations, including reviewing, analyzing, and processing time and leave.
- Perform ongoing analysis and review of daily input reports (e.g., Timesheet [ETR] Status Report and Accepted/Rejected Transactions Report, Anticipatory Week Reports, Leave Without Pay
Reports, Adjusted Timesheets Reports, Commissioner's checks Report, etc.).
- Ensure adequate coverage of timekeeping operations by monitoring subordinates' attendance and maintaining necessary controls.
- Monitor and address unplanned absences among subordinates, advising the Director of Timekeeping Services on administrative actions or work reassignment as needed.
- Prepare periodic status, activity, or management reports as required.
- Maintain detailed and accurate records of employee hours, absences, and attrition rates.

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
- Attention to details - Proficient in CityTime, CHRMS, PMS - Knowledge of timekeeping and leave policies - Team management, problem-solving, communication, and analytical skills
