Tenant Relations is a newly created group designed to improve service delivery to tenants. Instead of our tenants having reach out to multiples teams to get the service they need, tenants will have a one-stop shop to make all requests, answer questions, and get the right person directed to their issue. Tenant Relations will ensure that any work order ticket submitted via ARCHIBUS has been directed to the right team within Asset & Property Management, follow up and report progress, track cycle time, and trouble shoot issues.

The Tenant Relations team sits within the Office of the Executive Deputy Commissioner of Asset & Property Management and serves as the primary liaison between Asset & Property Management and tenants in City-owned buildings, streamlining responses and relieving the undue burden that occurs when tenants submit requests to the wrong person or Line of Service.

- Take the lead on developing metrics and reporting for the Tenant Survey, a semi-annual survey to be created and distributed to the various tenant liaisons for the purposes of measuring improvement in service delivery.
- Develop a strategic understanding of ARCHIBUS work orders in order to create reports, KPIs, and identify inefficiencies.
- Ensure work is streamlined properly to avoid duplicate and/or incorrectly assigned work.
- Coordinate with ARCHIBUS staff where needed to improve reporting.
- Generate reports displaying the impact of the TRG, Response time, ticket closures, workflow charts.
- Deliver regular qualitative and quantitative reporting to drive insights on improvements, ensure compliance, and enhance the tenant experience.
- Leverage their understanding of data and reporting in order to provide informed feedback to direct and senior management.
- Work to train building staff across the portfolio in the appropriate ARCHIBUS procedures, in order to maximize efficiencies in service delivery.
- Assist with the development of training material to be distributed to DCAS staff and customers.
- Work with the tenant liaisons to proactively maintain an accurate, up-to-date contact list to ensure that all tenants are informed of updates, emergencies, changes to policy, and other potentially critical info accordingly.


Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.


Preferred Skills

- A minimum of two to four years of relevant experience in one or more of the following: customer service and/or tenant relations, data analytics, and database management. - Demonstrate strong interpersonal skills. - Demonstrated strong oral and written communication skills including the ability to communicate effectively both internally and externally to the organization. - Proven excellent analytical skills with the ability to manipulate data, evaluate, produce complex reports, and make recommendations based on detailed, complex analysis on assignments of significant scope. - Ability to think inside and outside the box for problem-solving. - Ability to work independently and travel as required.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
