Job Description

APPLICANTS MUST BE PERMANENT IN THE CLERICAL ASSOCIATE CIVIL SERVICE TITLE.

The New York City Department of Homeless Services (DHS) is the largest organization in the United States dedicated to preventing and addressing homelessness. In partnership with other City Agencies and Nonprofit Organizations, DHS works to prevent homelessness before it begins, reduces street homelessness, provides temporary shelter, and connect individuals and families to stable housing all with a focus on accountability, empathy, and equity.

DHS is committed to continuous improvement and employs innovative strategies to deliver high-quality services that support a swift transition from shelter to self-sufficiency. The agency manages hundreds of facilities and operates with a large team as well as a several billion-dollar budget to meet the diverse needs of New Yorkers experiencing homelessness.

DHS Support Services provides support to DHS programs, staff and clients. Administrative Services is a unit within Support Services responsible for overseeing and managing contract and support services for DHS' central office, directly run and contracted sites.

The Department Homeless Services (DHS) is recruiting one (1) Clerical Associate III to function as a Support Services Associate who will:

- Conduct daily building inspections, review outcomes and prioritize work orders.

- Review and follow-up on administrative and building service-related requests (i.e. freight, delivery scheduling).

- Contact service vendors to initiate requests for service; track response time and ensure services that are rendered comply with contract specifications.

- Work with various types of technical digital, high volume production copiers and upgraded analog machinery to produce special requests from various units.

- Manage the reproduction room by performing basic maintenance, such as adding toner, staples, correcting paper jams, cleaning the glass to prevent smears and marks.

- Prepare reports and standardized forms using information obtained from assignment forms, activity sheets and records to provide written records of action findings and make recommendations for necessary services.

- Update and maintain the agency seating chart and track vacancies by completing onsite walkthrough and conducting monthly meetings with seating liaisons from all divisions to discuss staff changes (i.e. retirements, transfers, and separations).

- Provide technical support and guidance to central office and field staff to ensure compliance with DORIS standards for storage, retention, retrieval and disposal of records.

- Maintain agency records located at the central warehouse and other DHS locations.

Hours/Schedule: Monday – Friday 9am – 5pm.

Minimum Qualifications

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

- Strong communication and interpersonal skills. - Proficient computer skills. - Ability to prioritize in a fast-paced, multi-site environment. - Demonstrated experience supporting administrative office operations.

New York City residency is generally required within 90 days of appointment.
