Job Description

In order to be considered for this position candidate must be serving permanently in the title of Principal Administrative Associate or be reachable on the DOT’s promotional list for Principal Administrative Associate list, Exam #1507, or eligible under the 55a program.


The Permits and Customer Service Group (PCS) is seeking to hire a Principal Administrative Associate, Level 2 to work in the Mailroom and File Room. The selected candidate will be responsible for supervising the daily activities of 7 Clerical Associates, whose job is to receive and distribute mail, as well as the creation and storage of applicant files.

The tasks for this position includes, but are not limited to the following:
- Ensure all records, equipment, files, and materials are properly logged and stored;
- Establish and reinforce Mail Unit and File Unit procedures for staff guidance;
- Ensure all mail is properly received, opened, sorted, and registered in the tracking database;
- Ensure that the appropriate files are pulled, prepared, and delivered to DOHMH on a weekly basis;
- Provide training and resolve issues to ensure the efficiency and proper functioning of the mailroom and file room units.
- Collect and transport bundled mail to the post office on a daily basis, and
- Perform various special projects and additional miscellaneous tasks, as needed

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

- Proficient in the use of Microsoft Office Suite (Outlook, Excel, Word), and Adobe. - Excellent organizational, verbal, and written communication skills. - Ability to maintain confidentiality. - Ability to multi-task and quickly respond to issues.

Residency Requirement

New York City residency is generally required within 90 days of appointment.
