UNIT: Budget Administration

JOB TITLE: One (1) Summer Intern

CONTROL CODE: PMA-24-01


SUMMARY:

The Mayor’s Office of Management and Budget (OMB) is the City government's chief financial agency. OMB's staff of analysts and experts assembles and oversees the Mayor’s expense and capital budgets, which fund the services and activities of approximately 90 City agencies and entities.

Personnel Management & Administration (PMA) is OMB’s central services department. It is responsible for designing, developing, and implementing programs to meet the needs of OMB personnel and for providing timely and efficient services to OMB employees. Within PMA, the Budget Administration Unit is responsible for OMB’s operating budget, accounts payables and managerial Flextime and Lump sum payout.

JOB DESCRIPTION:
- Reconcile purchase orders, payments and reimbursements in database.
- Assist with budget allocation and track agency’s expenditures.
- Prepare analytical reports and provide backup documentations on budgetary and for audit purpose as needed.
- Evaluate managerial timekeeping data, transfer between systems and reconcile discrepancies.
- Analyze and calculate Managerial Leave banks, FlexTime and Lump sum payout.
- Assist in building reports that can be used as management tool.
- Assist and follow-up on FMS Security master list log, forms submission & profile update
- Assist supervisor with Special Projects as needed.


Minimum Qualifications

As of June of the Program year the prospective interne must be a student matriculated in a college or be a recent college graduate (winter/spring term of the Program year).
NOTE: Appointment to this title is only valid for the duration of the Program, June - August each year.

Description of Specific Skills Required: - Exceptional organizational, research, analytical, and problem-solving skills. - Must have outstanding communication skills and interpersonal skills. - Must have excellent attention to detail and execute responsibilities with a sense of urgency and follow-through. - Must have a proficiency in Microsoft Office (Excel, Word, Outlook and PowerPoint) and the ability to learn new technology quickly. - Experience/Interest in financial analysis, budget planning and management, or a related field is desirable. REQUIREMENTS: Undergraduate interns must be currently enrolled or accepted into an accredited college or university. Strong analytical, research and communications skills are required. Candidates must have familiarity in MS Word and Excel To participate in the OMB Summer Internship Program, undergraduate students must be enrolled or accepted into a college or university. Compensation/Duration: Summer Undergraduate Intern $16.50 per hour Internships will run for 10 weeks, from June 3, 2024 to August 9, 2024. The work must be done during the regular workday, 9:30 a.m. to 5:30 p.m. – no evenings or weekends.
