Job Description

This vacancy has now expired.

Duties include, but are not limited to the following:

1. Accurately and promptly maintains confidential files and other pertinent documents.

2. Accurately and promptly, in the absence of the Secretary to the Corporation Counsel, takes dictation and transcribes notes and tapes.

3. In the absence of the Secretary to the Corporation Counsel, appropriately and accurately, serves as the Secretary to the Corporation Counsel. Tracks correspondence and requests that are forwarded to staff for action. Promptly notifies the Corporation Counsel of issues that may impede assigned goals. Ensures confidentiality of information and documents are monitored.

4. In the absence of the Secretary to the Corporation Counsel, promptly and accurately keeps the Corporation Counsel informed of critical matters and appointments.

5. In the absence of the Secretary to the Corporation Counsel, accurately and promptly coordinates meetings and schedules appointments for the Corporation Counsel with city officials and agency staff.

6. Accurately and promptly assists in the preparation of high profile cases and matters assigned to executive or other high level staff.

7. Accurately and promptly schedules appointments and meetings for executives and/or senior staff members.

8. Promptly and accurately types documents including, but not limited to, briefs memoranda, correspondence and reports.

9. Appropriately assists in coordinating and planning events for the Law Department and City Hall.

10. Follows agency administrative policies and procedures. Required administrative documents are submitted accurately and timely, such as e-forms, timekeeping forms and medical documentation, official business forms and related forms. All applicable agency policy set forth in the Office Manual is adhered to.

11. Accurately and promptly performs assigned clerical tasks such as, but not limited to, filing, data entry and photocopying.

12. Answers agency telephone promptly and courteously. Quickly and accurately assists callers or refers callers to the appropriate party. Promptly and accurately takes and forwards messages to appropriate parties.

13. Promptly and appropriately responds to and initiates all business-related email and voicemail.

14. All required correspondence is completed timely and accurately.

15. Accurately performs special projects as assigned within specified deadlines.


Minimum Qualifications

1. Graduation from a recognized college with a baccalaureate degree and one (1) year's experience as a secretary; or
2. Graduation from a community college with an associate degree with specialization in executive secretarial work and one (1) year's experience as a secretary; or
3. Graduation from senior high school, or possession of a high school equivalency diploma, and two (2) years of stenographic experience including one (1) year as a secretary.

Typing Requirement:

40 wpm with 5 errors of less.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
