The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of New York City’s children and families by providing child welfare, juvenile justice, and early care services. In child welfare, ACS contracts with private nonprofit organizations to support and stabilize families at risk of a crisis through preventive services and provides foster care services for children not able to safely remain at home. Each year, the agency’s Division of Child Protection responds to more than 50,000 reports of suspected child abuse or neglect. In juvenile justice, ACS manages and funds services including detention and placement, intensive community-based alternatives for youth, and support services for families. ACS is also a key part of NYCs early childhood and education continuum, providing childcare assistance to thousands of child welfare involved and low-income children so they can access safe, affordable, quality care.

The NYC Administration for Children Services (ACS) Commissioner’s Office is the central management point for the daily operations of the agency and the first point of contact for external partners. The office works with the leadership of all ACS divisions to set priorities, advance key initiatives, and respond to concerns of stakeholders. Reporting to the ACS Commissioner’s Chief of Staff, the Special Assistant will be an integral member of the Commissioner’s Office team to assist with the day-to-day operations of the office. The incumbent will interact with staff at all levels of the agency and external stakeholders providing assistance and maintaining discretion and confidentiality at all times. Specifically, the Special Assistant will help drive special projects, conduct, compile and summarize research; manage administrative processes and oversee use of the agency’s enterprise correspondence system. The selected candidate will be responsible for, but not limited to:

- Conduct research on a range of issues, including ACS programs and external matters, often under tight deadlines.
- Organize research findings, identify key insights, and draft memos or summaries.
- Assist with information gathering, communicating both in writing and verbally with internal and external partners, developing and monitoring plans and keeping track of responsibilities.
- Prepare for and follow up on internal and external meetings.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Manage the Chief of Staff’s workflow and priorities by managing her schedule, ensuring that she is well prepared for meetings and anticipating steps ahead.
- Manage special projects assigned by the Chief of Staff.
- Support and work closely with all Office of the Commissioner staff, providing substantive and administrative support on all aspects of the office’s management.
- Anticipate needs of the office and identify opportunities to create processes and systems to streamline office flow.
- Provide general administrative support, including drafting correspondence in response to constituent inquiries, answering telephone calls, and ensuring requests are appropriately handled in a timely and professional manner.
- Assist with the day-to-day operations and staff services, such as vendor payments and relations.


Minimum Qualifications

1. A baccalaureate degree from an accredited college or university and two (2) years
of responsible full-time paid experience in one or more of the fields of social service,
psychology, public relations, urban planning, program evaluation, budget
administration or financial administration, human resources management,
management science, operations research, organizational behavior, industrial
psychology, statistics, personnel administration, labor relations, human resources
development, political science, urban studies or a closely related field.

2. A satisfactory combination of education and/or experience equivalent to “1” above.
However, all candidates must possess at least one year of the experience described
in “1” above.


Preferred Skills

- A Bachelor’s degree from accredited college or university OR equivalent 3+years’ experience in a fast-paced, large non-profit or public or private sector organization supporting an executive-level individual or team. - Excellent organizational skills, ability to multi-task in a fast-paced environment, keen attention to detail, and ability to meet deadlines. - Strong time management, organizational and oral/written communications skills. - Ability to identify confidential and sensitive information and protect it accordingly. - Communicative and comfortable working with and through a range of different people to build relationships quickly. - Outstanding interpersonal and customer service skills. - Experience directly supporting an executive level administrator. - Strong analytical abilities. - Resourceful and practical with the ability to receive different kinds of input to quickly and effectively determine next steps. - Solid knowledge of technology and office equipment proficient in the use of computer applications, MS Office and the internet.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
