Job Description

Under the supervision of the Deputy General Counsel and Chief of the Administrative Hearings Division, the Secretary will perform work of a difficult and responsible nature. With oversight and supervision, perform difficult secretarial, stenographic, typing, word processing, general office duties, with latitude for independent judgment. The selected candidate will be responsible for handling a high-volume area of over 3,000 Section 8 and Section 9 cases annually. Coordinate and prioritize complex activities by processing, recording, checking, and maintaining records, furnishing information, and preparing reports.

Specific duties and responsibilities include, but are not limited to:

- Data entry and scheduling of cases in the Law Department case management system.
- Prepare, photocopy and mail charges and letters. Maintain files to ensure that cases are processed in accordance with prescribed methods set forth under NYCHA termination of tenancy procedures and the Escalera Consent Decree.
- Coordinate Guardian Ad Litem requests on behalf of the attorneys with the Office of the Corporate Secretary including Legal Stratus data entry for all attorneys.
- Prepare reports for administrative action.
- Ensure timely and accurate submission of various reports as needed.
- Serve as a liaison between different divisions within the Law Department.
- Enter case dispositions into Legal Stratus including hearing office decisions, defaults, stipulations of settlement, and defaults/dismissals.
- Enter case dispositions on individual NYPD referrals for the NYCHA/NYPD interface in Legal Stratus.
- Kronos Timekeeping.

NOTE: Preference will be given to CIVIL SERVICE BRDIGE EXAM# 3131 takers.

Minimum Qualifications

A four-year high school diploma or its educational equivalent approved by a State’s Department of Education or a recognized accrediting organization?

Skills Requirement: You will be required to meet the typing skills requirement by demonstrating the ability to type accurately on a personal computer at a minimum speed of 35 words per minute after errors are deducted. You must meet this requirement in order to be appointed.


Preferred Skills

1. Knowledge of Kronos. 2. Proficient in Microsoft Office Suite. 3. Excellent organizational skills.
