Under general supervision to the Queens Director of Operations and Service Manager, the candidate will be responsible for:
- Supervise Scheduling Coordinators and monitor the scheduling coordinators DOBNOW dashboard(s)
- Schedule/cancel and reschedule appointments in response to PER 11 for the Chief Plan Examiner, Plan Examiner’s, and the Project Advocate and Borough Commissioner/Deputy Borough Commissioner office
- Serve as a backup for Borough Commissioner/Deputy Borough Commissioner’s office
- DOB NOW Appointments
- Monitors the PER11 mailbox; Provide Borough Director, Borough Commissioner and Deputy Borough Commissioner with weekly PER 11 email updates
- Answering incoming calls and directing them to the appropriate units for assistance
- Intake of reinstatements, supersede requests, withdrawal requests and Letter of No Objection submissions
- Tracking the submissions using an excel spreadsheet
- Triage requests regarding Letters of No Objection (LNO), Letters of Verification (LOV) for Plan Examination and/or Borough Commissioner’s office review
- Provide professional customer service to the public while adhering to the agency Department’s customer service guidelines, Scheduling of appointments
- Perform data entry transaction with include Application Process in Building Department infrastructure Building Information Systems (BIS), SharePoint and DOBNOW
- Assist as needed with special projects
ADDITIONAL INFORMATION
Only permanent Clerical Associates, applicants who are reachable on the Clerical Associate open competitive list, applicants who provide proof of passing the most recent open competitive exam for Clerical Associate, and applicants as indicated below will be considered will be considered.
Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
1. Experience working in a customer-focused environment. 2. Excellent verbal and written communication skills. 3. Ability to work in a team environment and comfortable working independently. 4. Computer proficiency and ease learning new technical processes.
