The Division of Family and Child Health (DFCH) of the New York City Department of Health and Mental Hygiene is charged with the creation and oversight of programs, policies, services, and environments that support physical and socio-emotional health, and promote primary and reproductive health services, health equity, social justice, safety and well-being for New York City families and children. The Division is comprised of the Bureau of Maternal Infant and Reproductive Health, the Bureau of Early Intervention, the Office of School Health, and the Bureau of Administration. The Early Intervention Program (EIP) is a comprehensive interagency program that supports infants and children with developmental delays in their efforts to realize their full potential. It reduces the likelihood of delays among at-risk children, assists and empowers families to meet their child's and their own needs, and entitles children, regardless of race, ethnicity or income to services through the program.
Duties will include but not be limited to:
Schedule Individualized Family Service Plan (IFSP) meetings, within the NY State mandated timeline, using Microsoft Outlook;
Manage daily calendaring and scheduling activities for Early Intervention Official Designees and perform administrative tasks for assigned cases in a web-based application;
Review submitted multidisciplinary evaluations for children to ensure completeness and accurate eligibility scores.
Triage multidisciplinary evaluations utilizing standards established by the Evaluations and Standards Unit
Assist with preparing Prior Written Notices to Parents and performing case closures and assist with outreach to evaluation agencies to encourage timely submission of MDEs to the Brooklyn Regional Office for at risk families
Respond to all internal and external stakeholders by communicating effectively and utilizing excellent customer service skills via telephone, email, or in person
Provide Clerical Support in the Brooklyn Regional Office.
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
Proficiency with Excel and Microsoft Outlook. -Experience working with databases. -Strong organizational skills. -Ability to organize and prioritize a range of tasks. -Highly detail-oriented. -Ability to manage deadlines and changing priorities. -Strong written and verbal skills. -Experience in a customer service environment. -Experience working in a team environment. Preference will be given to individuals with excellent phone, computer and writing skills. Additionally, good communication & good organizational skills and the ability to work under pressure and respond to time frames are required. Bilingual is a plus.
