Under general supervision, with some latitude for independent initiative and judgment, duties include:
- Gathering documents and links for FOIL requests, subpoenas, and Law Department requests; responding to the requesters; tracking and filing requests and subpoenas;
- Using Open Records Portal to process FOIL requests;
- Data entering FOIL and subpoena requests as needed;
- Entering paper and email FOIL requests into the OpenRecords Portal;
- Following up on pending FOIL and subpoena and other requests;
- Arranging witnesses for depositions and trial testimony for the law Department and in connection with private lawsuits in which DOB has received subpoenas; reaching out to attorneys as needed;
- Certifying documents;
- Working with spreadsheets in connection with FOIL and subpoena requests;
- Producing documents to requesters and collecting payment in connection with FOILs and subpoenas;
- Meeting with members of the public and process servers to obtain subpoenas and FOIL requests;
- Responding to public inquiries in person, via telephone and emails and electronic portals;
- Working with computer programs and platforms including, but not limited to, Open Records Portal, MS Word, Excel, and all DOB programs;
- Making copies and scans;
- Organizing files;
- Assisting the supervisors, Executive Assistant Staff in the Office of the General Counsel and other units as needed, including answering phones;
- Preparing and mailing letters or notices;
- Additional tasks and projects as needed.
Additional Information
Only permanent Principal Administrative Associates, applicants reachable on the Principal Administrative Associate list, and applicants as indicated below will be considered.
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
