Job Description

Under general supervision, with some latitude for independent initiative and judgment, performs one or more of the following or similar difficult and responsible administrative functions:

- Perform targeted outreach to customers who have difficulty certifying the correction of an open OATH summonses.
- Collaborate with other DOB units in an effort to increase the number of summonses corrected.
- Provide technical assistance to customers who have difficulty navigating the certificate of correction process.
- Work with unit leaders to develop and update unit materials and instructional guides.
- Prepare and present instructional materials to the public and others, as it relates to AEU processes.
- Review certificates of correction to determine if the proper documentation is included and that submissions meet minimum agency requirements.
- Provide clear, concise, complete, and correct results of a certificate of correction review to customers.
- Make appropriate recommendations and/or referrals when dealing with difficult or special cases.
- Provide adequate customer service to customers who appear in-person for assistance.
- Process and respond to correspondence received by the unit.
- Maintain general files for the unit.
- Research and respond to Freedom of Information Law (FOIL) and subpoena requests, as necessary.
- Provide telephone and online help form coverage and respond to telephone inquiries, from the public and other department personnel.
- Respond to inquiries submitted to the unit’s online help form.
- Process and Data Enter Notices of Violation as necessary.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

- Exceptional interpersonal skills and the ability to clearly communicate orally and in writing. - Good listener and detail-oriented. - Adept at Microsoft Office programs including, but not limited to, PowerPoint. - Good organizational skills and the ability to prioritize multiple tasks.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
