The Department of Design & Construction, Operations Division seeks a Procurement Liaison. Under the direction of the Supervisor of the Operations Procurement Unit, the selected candidate will attend procurement meetings, monitor small purchases with Agency Chief Contracting Office (ACCO) in support of agency operations including the capitally eligible work and purchases. Liaison with ACCO and the Office of Diversity and Industry Relations – M/WBE (ODIR) regarding M/WBE policies, procedures and utilization goals, review receiving reports and monitor payments, as needed on agency purchases. The coordinator will analyze the various categories of purchases in Prokure and compile reports on the types and costs of the unit’s small purchases, making recommendations to senior managers on the pace of each year’s spending. Ordering goods and services including site & safety equipment for project managers who are working on capital projects. In addition, the coordinator will be responsible for preparing receiving reports and tracking payment of all unit invoices. The selected candidate will prepare purchase order requests for new equipment purchases; work with DDC ACCO and the Department of Citywide Administrative Services (DCAS) to ensure all procurement requests are completed in a timely manner; and utilize FMS to track spending and payment activity on purchase orders.
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
The selected candidate must be highly organized with a strong attention to detail possess excellent verbal and written communication skills an enthusiastic and positive individual with good interpersonal skills and ability to interface with all levels of staff ability to work under stringent deadlines, manage multiple assignments, and handle sensitive information and be proficient in the Microsoft Office Suite. Knowledge and experience with the NYC Financial Management System (FMS) is preferred.
