The Fiscal and Personnel Unit is The Bronx Borough President’s Office primary Financial and Human Resources arm. Core monetary and people operations are carried out through the function of the Department. BXBP team members operate in a collaborative, service-oriented environment, where flexibility and reliability to achieve results are valued. All staff are expected to deliver timely and quality work, participate in ongoing improvement activities and proactively deepen their knowledge of procurement and governmental operations. This position must collaborate with other team members to support and fulfill the agency’s mission.

The Fiscal and Personnel Unit is seeking to hire a Payment & Timekeeping Associate. The selected candidate will be responsible, but not limited to:

- Manage the day-to-day administration and operations of vendor payments.
- Ensure invoices and reimbursements are paid promptly and in adherence to Comptroller directives, City policies and Contract Terms and Conditions.
- Communicate, coordinate, and resolve payment issues with vendors, DOF divisions and other stakeholders.
- Assist in critical budget exercises such as the fiscal year close out.
- Validate and process new and modifications to Employee Vendor records in the City’s Financial Management System (FMS).
- Process imprest fund/petty cash reimbursements the same day and request funding within two (2) days.
- Process map sales from the Topography Unit.
- Liaise between Comptroller’s Office and Community Boards to prepare rent documentation.
- Help administer employee timesheets for the Bronx Borough President’s Office and Community Boards using New York City’s automated “City Time” timekeeping system.
- Perform special assignments and/or special projects as needed.
- Assist with BXBP special events as assigned.
- Occasional local travel may be required


Minimum Qualifications

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.


Preferred Skills

o Strong oral and written communication skills strong analytical, research, and organizational skills. o Knowledge of city mainframe programs, such as FMS, Passport, CityTime, DMSS. o Proficiency in MS Office which includes, MS Word and Excel with the skillset to apply and use formulas. o Ability to handle multiple high-priority projects and assignments simultaneously and shift fluidly among them, when necessary, towards creative problem solving. o Ability to write and speak effectively. o Ability to work independently and pay close attention to detail. o Ability to prioritize task and then act on priorities.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
