The NYC Public Engagement Unit (PEU) identifies and executes proactive strategies to connect more New Yorkers to key city services. Relying heavily on data analytics, new technologies, and large-scale outreach tactics, the unit identifies New Yorkers in need of assistance and helps them navigate and obtain city services.
The Public Engagement Unit consists of teams of specialists who are trained to effectively engage New Yorkers and connect them with vital resources. The Unit uses data to identify demographics that likely want or need city services; and works with partner agencies, elected officials, community groups, non-profit organizations, and service providers to engage directly with communities and subject matter experts in all five boroughs. The unit is frequently involved in citywide events, special projects in conjunction with multiple city agencies, and targeted days of action.
The Operations Associate will directly report to the Manager of PEU Administrative Services and their primary responsibility will be to assist and provide organizational effectiveness and the logistical support at PEU. The Employee Management and Administrative Services team provides PEU with a solid operational foundation by handling procurement, training, facilities, printing, transportation, supplies, contracting, HR, dissemination of policies and procedures. The Operations Associate will serve the important role of providing effective everyday support and anticipating future operational needs of all the units within PEU, as well as helping with logistics.
The Operations Associate will assist the Admin support team and the Manager of PEU Administrative Services in executing day-to-day tasks and assignments specifically for procurement, fleet management, print shops, vendors, facilities management and training. The Operations Associate will be responsible for assisting the Manager of PEU Administrative Services in identifying and reporting seating and space requests, procuring supplies, assisting with training and professional development scheduling and arrangements, and supporting the organization with other miscellaneous tasks, i.e. preparing agendas for meetings and leading special projects, as assigned.
PEU is seeking a one (1) Community Associate to function as an Operations Associate.
The Operations Associate’s responsibilities will include but are not limited to:
- Work closely with the Manager of PEU Administrative Services to ensure consistent support
and clear communications of how to request operational support.
- Conducts onboarding orientations/meetings, providing all relevant information, handout
materials and gear for each new hire.
- Provide operational support to the PEU outreach teams by understanding the mission and
goals of each unit and identifying what will be needed to both enhance and support each program.
- Review and suggest improvements for the operational systems, processes, and policies of the unit,
ensuring adherence to agency and city policy and rules.
- Assist with the logistics of planning large events, trainings, etc., and preparation for emergency or
unexpected deployment of staff as needed
- Work with all teams and partners to efficiently support the recruitment and onboarding of new staff,
reporting out on progress and roadblocks as needed.
- Ensure that policies and procedures are updated and disseminated as needed across PEU.
- Work to order and procure promotional items, securing inventory and managing distribution, and
assist in the invoicing processes.
Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.
- Experience with community issues, labor, or political organizing. - Comfortable with numbers and experience managing a budget preferred. - Advanced understanding of Excel and experience with citywide systems such as FMS, ePARs, NYCAPS, preferred. - Excellent written and verbal communication skills. - Energetic and enthusiasm, with a focus on teamwork and relationship building. - Excellent interpersonal skills and proven ability to engage people in conversation. - Ability to prioritize and effectively manage multiple tasks in a fast paced work environment. - Willingness to learn, be flexible and adapt to work assignments in a variety of situations and ability to problem solve.
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
