With an overarching mission to eliminate ageism and ensure the dignity and quality of life of approximately 1.775 million older New Yorkers, the NYC Department for the Aging is deeply committed to helping older adults age in their homes and creating a community-care approach that reflects a model age-inclusive city.

The Office of General & Administration Services (OGAS) oversees the: Mailroom, Supply room, Copy center, Fleet and Local Travel, NYC Aging’s Record Retention program, Waste and E-waste removal efforts and Accounts Receivables. OGAS also coordinates internal facility-related reports and issues to ensure the daily functions and operations of the agency equipment are at optimal working condition.

The Office of General and Administrative Services (OGAS) serves as the official liaison for DCAS and manages Department for the Aging’s fleet of city-owned cars in addition to managing and analyzing local travel requests submitted by employees to use for work-related events outside of the office that require transportation.

OGAS seeks a highly motivated individual who is proactive and a self-starter to serve as the Local Transportation Specialist under the supervision of the Senior Director and the Deputy Director, with latitude for independent work. The selected candidate will perform extensive duties pertaining to the operations of the agency local travel program guided by NYC's Comptroller Directive 6. This ideal candidate will be efficient and able to prioritize work both directly related to local travel in addition to the other functions of the team as needed.

The Local Transportation Specialist duties will include but not be limited to:

- To issue NYC Aging agency vehicle to authorized NYC Aging staff when requested.

- Confirming Driver Detail Log report to ensure that records are accurate as per Vehicle Request Form.

- Report any vehicle discrepancies to unit directors.

- Maintain preventative maintenance schedule or take NYC Aging vehicles for service.

- Validate all NYC Aging EZ pass requests and confirm expenses against agency credit card on a monthly basis.

- Check NYC Aging EZ pass system routinely so that it is being used in compliance with City Driving rules.

- Collaborate with the Fiscal Department to ensure all invoices are received and paid in a timely manner.

- Assist the Office of General Services (OGAS) team with deliveries internally to staff or externally to providers.

- To monitor any agency service now requests and answer requests in a timely manner, assign to appropriate team member. Flag potential problems or high priority requests, or time sensitive issues.

- Responsible for distributing and monitoring Metro cards issued to NYC Aging staff.

- Prepare purchase orders to replenish Metro Cards and other needed purchases.

- Assist with special assignments as requested by leadership.

- Collaborate with the copy center specialist to enhance promotional products with true market knowledge.

- Create and design multiple drafts/proofs for potential projects with wide latitude for creativity and independent judgment.


Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.


Preferred Skills

- Knowledge of the City's Fleet Policies as well as City Comptroller Directive 6 a plus - Experience with Microsoft Office, Zip-car App and user sign-up, Service Now, FMS3, Passport, Archibus. - Familiarity with various design software (Photoshop, Illustrator etc) preferred. - Ability to work independently and meet deadlines. - Strong work ethic, attention to detail, and critical thinking skills. - Strong presentation, excellent written and verbal communication skills. - Customer service oriented and work well in a fast-paced, team-oriented environment. - Experience with design and promotion and knowledge of the 5 borough are a plus!

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
