Job Description

Human Resources Solutions (HRS) is requesting approval to fill one (1) vacant Clerical Associate III via agency-wide job posting to function as an Imaging Clerk, within its HR Records Management. There is a critical need for this personnel transaction in order to maintain the unit’s ability to provide continuity of support functions within the Division without any disruption in services. The HR Records Management is responsible for providing mailroom operations (mail receipt/ distribution/pickup) and messenger services (delivering mail to other agencies). Other support services include, but are not limited to, procurement, operation and maintenance of postage machines. The Micrographics Unit maintains centralized office records of all employees and conducts research analysis of staff personnel records in order to respond to complaints, requests and inquiries concerning Unemployment Insurance Benefits (UIB), no-fault insurance and disability benefits.
Human Resources Solutions (HRS)/HR Records Management is recruiting for one (1) Clerical Associate III to function as an Imaging Clerk, who will:
- Review and integrate documents by checking the records information, such as Employee ID number and document type. Prepare files for scanning by removing staples, rubber bands, and paper clips from file and counting total number of pages.
- Operate image scanner to scan documents and categorize document type for indexing. Adjust image resolution, paper size, and orientation by using scanning application’s document image settings. Review the scanned images for quality assurance.
- Index documents by reviewing record cover sheet and documents, and select the appropriate document type to submit the electronic image. Verify indexing data and make necessary corrections; edit by using indexing application.
- File the scanned documents by document type and date for temporary storage. Review the documents and discard duplicates.
- Provide coverage for department’s reception area ensuring appropriate notices to staff in various units, accurate logs, prompt and professional telephone communications, and excellent in-person customer service.
- Provide customer service to HRA employees who ask to view their personnel file documents as directed by supervisor. Retrieve records and/or documents and print requested documents for employee.
- Assist supervisor in collecting productivity data and preparing statistical reports. Ensure proper maintenance of scanners and scanning equipment by reporting equipment breakdown or other problems to the supervisor.
- Other duties as assigned.
Hours/Schedule: 9 to 5
Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
