Office of the New York City Comptroller seeks to hire a highly motivated individual to serve as its Facilities Supervisor. This position will have a direct responsibility of managing (6-8) custodial staff who are responsible for the overall cleanliness for our 11 floors of office space supporting about 750 employees. Position requires great attention to detail and consistent anticipating, planning and following up on work requests and projects, and would be ideal for an experienced supervisor with demonstrated ability to anticipate and resolve facilities issues, utilize time effectively to plan for projects and conduct daily office maintenance operations.

Specific tasks include, but are not limited to, the following:

- Supervises custodial staff which includes assigning work daily, hosting weekly team meetings, approving time and leave as well as timesheets; managing, and documenting staff performance, attendance and overtime; provides feedback, coaching and training where appropriate to improve staff performance;

- Authorizes and manages staff overtime assignments; provides clear direction and follow up on assignments to custodial staff; closely works with bureau contacts and other city agencies to meet business requirements and goals; manages agency user facilities requests using the service desk portal; reviews and assigns service tickets throughout the day to custodial staff; assigns work, provides status to clients and ensures proper and timely resolution regarding a variety of issues that may include: cleanliness, climate issues, pests, small office moves, paper and water supply delivery requests; works to resolve and close out tickets within 48 hour time period where possible;

- Conducts inspections and documents walk-throughs on a weekly basis to assess needs and reviews office conditions with custodial staff; serves as Fire Warden and tenant liaison to DCAS to report, schedule and follow up on building services including bathroom, heat, climate control, pest management, security, lighting, plumbing and electrical issues and continuously follows up until the issues are resolved.

- Records and reports all DCAS specific issues by submitting Archibus tickets and keeps track using a system generated spreadsheet to ensure status and follow up regarding resolution with DCAS on regular and consistent basis;

- Responsible for ensuring all events, press conferences, parades and meetings are fully supported by facilities unit by keeping detail records of events and ensuring staff availability, and handling event set-ups to meet needs of clients;

- Manages and coordinates vendor activities including sanitation dumpster requests, water supply and water filter maintenance, fire extinguisher certifications, exterminator, and carpet cleaning scheduling; ensures DCAS Security is informed of vendor visits to the office by providing name of the company, name of vendor staff, date, time, type of work to be performed and location information;

- Keeps supervisor well informed of important facility and staff matters and escalates issues appropriately with data and documented efforts to resolve; and, performs related work assignments, special projects as may be required, including working evenings, nights and weekends, as necessary.


ADDITIONAL QUALIFICATION REQUIREMENTS:

All applicants must be current City of New York employees serving in a permanent civil service title of Custodian and meet the following minimum qualifications for the Custodian Level IV title:

Graduation from elementary school and four (4) or more years of full-time satisfactory experience in the cleaning and maintenance of buildings.


Minimum Qualifications

Two years of full-time satisfactory experience in the cleaning and maintenance of buildings.
To be assigned to Assignment Level II, candidates must have three years of satisfactory experience as described in the "Qualification Requirements" above.
To be assigned to Assignment Level III and IV candidates must have four years of satisfactory experience as described in the "Qualification Requirements" above.

- Clearly demonstrated experience supervising custodial staff - Excellent customer service skills are essential the role requires flexibility and proactive approach to customer service by demonstrating responsiveness, commitment and professionalism to get the job done - Excellent time management skills, ability to multi-task and re-assess priorities on a daily basis to meet operational needs in a fast-paced environment - Demonstrated ability to anticipate, plan, coordinate and manage multiple projects at the same time exceptional organizational skills to manage multiple calendar events with a keen attention to detail - Knowledge of COSH and OSHA Safety standards, City of New York regulations regarding space allocation and planning is desirable - Good verbal and writing skills, working knowledge of computers, MS Office suite of applications.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
