The Mayor’s Office to End Domestic and Gender-Based Violence (ENDGBV) develops policies and programs, provides training and prevention education, conducts research and evaluations, performs community outreach, and operates the NYC Family Justice Centers. These comprehensive service centers provide vital social service, civil legal and criminal justice assistance under one roof to survivors of domestic and gender-based violence. The office collaborates with City agencies and community stakeholders to ensure access to inclusive services for survivors of domestic and gender-based violence.

The Mayor’s Office to End Domestic and Gender-Based Violence (ENDGBV) is seeking one (1) Executive Assistant.

Under the supervision of the Executive Director, the Executive Assistant provides administrative support and coordination to facilitate the operation of the QFJC in serving survivors of domestic and gender-based violence.

The Executive Assistant work includes, but is not limited to:

- Assist the Executive Director and Deputy Director in the daily management of QFJC
operations.

- Coordinate partner staff vetting, onboarding and orientation process.

- Maintain and update electronic and print QFJC materials, including staff directories, reference
charts and forms.

- Coordinate partner staff office placement and office equipment set up.

- Maintain daily calendars and room reservations for shared spaces.

- Maintain office and client supplies, including ordering, inventory, and processing.

- Manage the QFJC pantry and donations, including tracking, ordering, inventory, and processing.

- Assist in management of QFJC budget, track expenses, monitor metro card usage and
coordinate postage.

- Assist in coordinating seminars, trainings, meetings, and other on-site events.

- Assist with on-site programming, including scheduling, ordering of materials, recruitment,
attendance tracking and set up.

- Liaison with building staff to maintain facilities and manage equipment maintenance.

- Support front line staff and provide assistance with coordinating client services, as appropriate.

- Assist in answering the main phone line, respond to requests for information from the public
concerning services provided at the QFJC, as appropriate.

- Perform all requested duties related to the administration of the QFJC

- Perform other duties, as deemed necessary by the Executive Director and Deputy Director


Minimum Qualifications

1. A baccalaureate degree from an accredited college and one year of satisfactory, full-time progressively responsible clerical/administrative experience; or
2. An associate degree or 60 semester credits from an accredited college and two years of satisfactory, full-time progressively responsible experience as described in “1” above; or
3. A four-year high school diploma or its educational equivalent and three years of satisfactory, full-time progressively responsible experience as described in “1” above; or
4. Education and/or experience equivalent to “1”, “2” or “3” above.


Preferred Skills

- one (1) year of relevant work experience or a minimum of four (4) years of relevant work experience. - Very strong organizational, interpersonal/collaborative, time-management, and multi-tasking skills, including the ability to take initiative, prioritize duties, work independently and within a team environment, including experience with working with individuals from diverse cultures. - Ability to work well in a team environment and with all levels of supervisory and frontline staff - Comfort level with giving public presentations and conducting trainings for large and small audiences.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
