Job Description

The NYC Department of Probation (DOP) is a world leader in working creatively and effectively engaging with people under court-mandated community supervision. The Program & Evaluation Unit is an entity established to oversee the Department of Probation’s workforce development systems. Its overall mission is to ensure that unemployed and underemployed DOP clients in adult and juvenile operations have access to meaningful training services and employment resources to maximize their employability and earning power by encouraging their educational attainments and skills mastery.

The Senior Director of Program & Evaluation is seeking a highly organized, proactive, and resourceful Executive Assistant. This role requires exceptional organizational skills, discretion, and the ability to manage a variety of administrative tasks while anticipating the needs of the Senior Director and the unit. The ideal candidate will thrive in a dynamic environment, be a strong communicator, and excel at managing competing priorities with professionalism and efficiency.

The job responsibilities include, but are not limited to:

- Oversee and maintain comprehensive calendars, scheduling appointments, meetings, interviews, and events.
- Anticipate needs and ensure the Senior Director’s schedule is optimized for efficiency and productivity.
- Collect, edit, and prepare briefing materials, talking points, meeting notes, presentations, and correspondence across Program & Evaluation portfolio.
- Maintain clear and effective communication internally and externally.
- Address a wide range of high-volume and sensitive priorities, questions, and issues from internal staff and external stakeholders.
- Accurately determine appropriate follow-up actions, escalating matters to senior management when necessary.
- Communicate with Program Providers and staff members while quickly building rapport and trust to gain full understanding of Program & Evaluation portfolio.
- Perform complex tasks independently, meet deadlines, and handle multiple priorities with precision and timeliness
- Work cross functionally with a willingness to get things done while promoting a collaborative work environment
- Enter, track and analyze program data and actively participate in developing a continuous quality assurance/improvement
- Assist with other projects and team planning activities, as requested by Senior Director; actively contributing to team meetings and decisions.
- Assist the Senior Director in designing and implementing an ongoing client employment & education plan.
- Perform other related duties as assigned.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.


Preferred Skills

The ideal candidate will have demonstrated success with communications and large-scale multifaceted projects. The candidate will also exhibit: - Expert in Microsoft Office Suite (Excel, Word, PowerPoint), with the ability to extract, interpret, and analyze data effectively. - Ability to perform complex tasks, manage multiple projects with limited supervision in a timely manner - Experience implementing and managing projects involving diverse stakeholders. - Knowledge of workforce development and programming field, its best practices and key instrumental players - Able to establish and maintain positive working relationships with others both internally and externally to achieve goals of the organization - Strong management and leadership skills. - Outstanding analytical, problem solving, attention to details and creative thinking abilities. - Develop and share insights from interactions with industry and sectors across NYC to connect program participants to high-quality career opportunities - Ability to present effectively in front of senior staff and business executives and articulate the mission and vision of the unit.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
