The Office of General Counsel (OGC) is comprised of the following units: Real Estate (leasing, acquisitions, and disposals); Human Capital (Civil Service and Employment Law); Procurement; and Discipline and Labor Relations. OGC's DCAS and Citywide legal support also extends to Litigation of landlord-tenant matters of City-owned property, performing legislative review, and providing legal counsel for agency lines in the areas of fleet administration, energy purchasing/conservation, and facilities management/construction. OGC works with Corporation Counsel on special matters present before the agency that may require litigation or additional review due to the City Charter.

Under general supervision and latitude for independent judgement, the Executive Assistant will report directly to the General Counsel. The successful candidate must be detail oriented, a self-starter, and organized in order to facilitate the coordination of meetings, calendars, hiring, and other administrative duties as needed. At all times, the Executive Assistant must be able to handle sensitive and confidential information with discretion. Further, the successful candidate will show flexibility and adaptability, and show the ability to prioritize assignments and use critical thinking skills. The Executive Assistant must be a strong communicator, able to ask and field questions to ensure effective guidance on tasks assigned.
In addition, the Executive Assistant will help meet the operational needs of the Office of General Counsel, working closely with the Strategic Operations Team, which is responsible for providing administrative, project management, and personnel support across the portfolio.

The Executive Assistant’s responsibilities include but are not limited to:
- Act as the General Counsel’s primary point of contact for both internal and external stakeholders;
- Providing direct administrative support to the General Counsel, including calendar management and coordination, answering phones, staffing at events, reminders, and note taking;
- Ensure all communications/correspondence is responded to in a timely manner;
- Cultivate relationships across the different lines of service and with key partner agencies across the City;
- Follow up on assignments and tasks assigned to staff by the General Counsel to ensure deadlines are met;
- Prepare presentations, including tables and summaries, under the guidance of the General Counsel or in coordination with the Strategic Operations Team;
- Draft correspondence for the General Counsel’s review and signature at their request;
- Perform data entry and maintain databases as requested;
- Collaborate with team to plan and execute special projects managing logistics effectively;
- Support management and aid with other various administrative duties; and
- Support on administrative tasks, special projects, and other duties across the portfolio, as needed.


Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
