The Real Estate Services (RES) Line of Service of the Department of Citywide Administrative Services (DCAS) is the real estate arm of the City of New York and consists of six distinct units: Portfolio Planning and Management (PPM), Leasing, Design & Project Management (D&PM), Strategic Real Estate Initiatives, Planning, and Financial Services. The RES Line of Service meets the different real estate needs of City agencies including the following: negotiation of leases; the architectural design and project management for construction and renovations of over 22 million square feet of leased space and 15 million square feet of City-owned space; the acquisition and disposition of real estate; performing zoning and land use analyses; enforcement of space standards in office design; overseeing the equitable allocation of city-owned and leased space for agency use.

RES seeks to hire an Executive Assistant to support the Design + Construction team composed of three units: Strategic Planning, Design & Project Management and Workplace Services. This team is responsible for all aspects having to do with space portfolio management, architectural/interiors/engineering design, oversight of construction in leased properties, negotiations of alterations article in City leases, specification of furniture and coordination of all technology equipment. The team has approximately 60 employees and a detail oriented, self-starter and organized Executive Assistant is needed to help facilitate the coordination of meetings, calendars, hiring and other administrative duties as listed below. Experience working in a fast-paced environment is preferred.

- Responsibility #1: Coordination of calendars for Design + Construction Senior Staff including three Executive Directors and their manager.
- Responsibility #2: Coordination of meeting with many stakeholders from inside and outside the City.
- Responsibility #3: Coordination of professional development workshops for the staff. Includes reaching out to facilitators to schedule, coordinate calendar and book appropriate meeting space.
- Responsibility #4: Assistance with hiring process for new personal including the collection of resume and distribution to appropriate Senior Staff, interview scheduling, welcoming candidates, tracking follow ups, etc.
- Responsibility #5: Responsible for onboarding process of new hires including coordinating their IT equipment, software, desk readiness and welcome package materials.
- Responsibility #6: Assistance with personnel matters such as tracking over time requests and coordination with the RES Chief of Staff on Human Resources matters as applicable.
- Responsibility #7: Assist the Senior Staff, under the supervision of the Operations Manager, on selected projects administrative in nature.
- Responsibility #8: Keep the office and the team organized. Be proactive and keeping a healthy, amenable work environment.


Flexible Work Update:

This position may be eligible for remote work up to two days per week, pursuant to the Remote Work Pilot Program agreed to between the City and CWA 1180.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
