The New York City Housing Authority (NYCHA) is the nation’s largest public housing authority, with an operating budget of $3.3 billion and over 11,000 employees who manage and maintain 290 developments that house over 400,000 residents. NYCHA also operates the country’s largest Section 8 program, which provides rental assistance to over 200,000 additional families.
Position Summary
The Strategy & Innovation Division (S&I) oversees four departments within NYCHA: Strategic Planning, Performance Management and Analytics, Learning & Development, and the Special Counsel’s Office. The team is responsible for implementation of NYCHA’s Transformation Plan, a strategic vision to improve the resident experience and set the agency on a path to a stronger future. The Transformation Plan was conceived in response to the 2019 HUD Agreement and includes a comprehensive set of organizational and business process improvements.
The Assistant to the Executive Vice President will support the EVP and the broader division in managing administrative and clerical tasks, with some room for project management and individual initiatives.
Duties will include, but not limited to the following:
- Maintain the Executive Vice President’s appointment calendar and ensure that appointments are kept; use initiative and judgment in arranging appointments, interviews, and conferences.
- Schedule meetings for other members of the S&I team.
- Review, brief, and draft correspondence.
- Submit internal paperwork and forms, including expense reimbursements, Human Resources job descriptions in NYCAPS, service requests, and others.
- Place and answer phone calls, including to and from residents, staff, advocates, and elected officials.
- Maintain confidential files for the Executive Vice President and the S&I Division.
- Take and summarize notes in internal and external meetings.
- Advise the Executive Vice President on ad hoc issues.
- Create purchase orders and submit requisitions in iPro; coordinate with vendors and procurement to ensure all necessary paperwork is completed.
- Enter receipts for credit card transactions.
- Order office supplies for S&I.
- Provide administrative support for Operations Leadership Institute, including making copies of training materials, ordering supplies, coordinating events, and assisting with attendance and registration of participants.
- Timekeeping for S&I staff using Kronos and process timesheets for consultant staff.

- Ability to prioritize and successfully carry out multiple assignments simultaneously, adapting quickly as projects take new direction.
- Awareness of or ability to learn NYCHA and city systems, including NYCAPS and iPro.
- Proficiency in Microsoft Office: Access, Excel, Word, Outlook, PowerPoint, Teams and other office management technologies.

1. High school graduation or evidence of having passed an examination for a high school equivalency diploma and three years of stenographic or word processing experience including at least one year as a secretary; or
2. Education and/or Experience equivalent to “1” above. However, all candidates must possess a High School diploma or its educational equivalent. In addition, must have the ability to type a minimum of 60 words per minute.
- 3-5+ years work experience in administrative assistance at NYCHA. - Proven work experience with high-quality administrative support to property supervisors or senior-level executives. - Experience exercising discretion and confidentiality with sensitive company information. - Excellent organizational skills with an ability to think proactively and prioritize work. - Highly motivated with a strong sense of sound judgment.
