Job Description

The Office of Child Support Services (OCSS) puts children first by helping both parents provide for the economic and social well-being, health, and stability of their children. OCSS serves parents and guardians, regardless of income and immigration status. The program helps tens of thousands of children every year by bringing more income into the home. OCSS collects more than $700 million a year on their behalf.
Under direction of the Assistant Deputy Commissioner of Borough Offices (BO) & Court Services (CS), with considerable latitude for independent action or decision; the Principal Administrative Associate II, functions as the Executive Assistant for the Intake program of the OCSS. S/he is responsible for supporting the Executive team which oversees 10 field offices 4 Borough Offices (BO), 5 Family Court Support Services offices (FCSS) and DSS Court Services (DSS CS)).
The BOs are the point of entry into the child support system for custodial parents (CPs) who applied for or receive cash assistance. The FCSS offices are responsible for providing support services to non-cash assistance clients in the five boroughs, including providing support and guidance to noncustodial parents (NCPs) that require assistance with their cases. DSS CS is responsible for processing court-related actions on cash assistance and Medicaid cases received from the BOs and OCSS’s Enforcement division.
The office of Child Support Services (OCSS) is recruiting for one (1) Principal Administrative Associate II to function as an Executive Assistant who will:
- Compile, reconcile and analyze complex statistical data related to on-going management of the OCSS Intake unit, including site performance reviews, client-flow statistics and other tracking activities, document findings as appropriate.
- Utilize various database systems including Welfare Management System (WMS), NYCWAY, the Automated State Support Enforcement and Tracking System (ASSETS) and the OCSS Electronic Case Folder System (ECFS) to identify, update, or retrieve data associated with case studies regarding child support related matters.
- Interact daily with Intake Directors, Coordinators and line staff on behalf of the executive team to ensure critical information is received and/or directed to appropriate staff in a timely manner. Follow up with directives issued by the executive team to provide timely responses.
- Answer phone calls and forward critical information needing urgent attention to the appropriate office/staff for handling. Maintain calendars for the Intake executive team, coordinate meetings and response to requests as appropriate. Maintain a filing system for reports, correspondence, procedures and instructional materials.
- Coordinate and track requests for official documentation from other jurisdictions and City Agencies in support of child support proceedings.
- Participate in high priority pilots/projects with varying difficulty. Examples include participation in compliance audits, new program implementations and review of court hearing dispositions. Track outcomes and action items, develop reports and perform key activities in support of the Intake unit’s mission.
PRINCIPAL ADMINISTRATIVE ASSOC - 10124
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
