THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $64,137 - $73,758.

The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of New York City’s children and families by providing child welfare, juvenile justice, and early care services. In child welfare, ACS contracts with private nonprofit organizations to support and stabilize families through community-based programming and preventive services and provides foster care services for children not able to safely remain at home. Each year, the agency’s Division of Child Protection responds to more than 50,000 reports of suspected child abuse or neglect. In juvenile justice, ACS manages and funds services including detention and placement, intensive community-based alternatives for youth, and support services for families. ACS is also a key part of NYC’s early childhood and education continuum, providing childcare assistance to thousands of child welfare involved and low-income children so they can access safe, affordable, quality care.

The Office of Childcare Operations provides access to childcare subsidies for eligible families, including low-income families not on public assistance, so they can secure childcare from a provider in their community of choice. One of the main functions of the team is determining eligibility for low-income families seeking childcare. The borough-based offices are responsible for verifying and re-certifying the eligibility of all low-income families. The team is also responsible for issuing subsidized childcare vouchers to assist eligible low-income families with childcare payments at private, participating programs, and enrolling new providers. The office of Childcare Operations also staffs a Client Experience Unit that’s available to families and providers seeking assistance with childcare and enrollment support.

The Executive Assistant/PAAIII Responsibilities include but are not limited to:

- Act as the point of contact among the Childcare Operations Executive leadership team, employees, clients, and other external partners.
- Welcomes guests by greeting them, in person or on the telephone, and answering or directing inquiries. - Make decisions regarding immediate area of responsibility with a high amount of decision-making autonomy.
- Manage scheduling for CFWB Childcare Operations executive team.
- Manage calendar for CFWB Childcare Operations Executive Team and other leadership staff as necessary.
- Organize and prepare for meetings, including gathering documents and attending to logistics, and taking minutes.
- Make decisions which impact a broad group including various units, groups within Childcare Operations.
- Screen and direct phone calls and distribute correspondence.
- Schedule applicant interviews, and internal/external meetings on behalf of the division Draft, review, and send communications on behalf of CFWB Childcare Operations.
- Format information for internal and external communication – memos, emails, presentations, reports.
- Troubleshoot 311, email and written complaints regarding childcare on behalf of the executive team
- Provide technical assistance in organizing division trainings to implement critical initiatives
- Troubleshoots/responds to inquiries from community agency stakeholders regarding Childcare Case status
- Provides community outreach to parents/providers regarding the process of applying for childcare subsidies
- Prioritize emails and respond when necessary
- Work closely with executive leadership; and may also have an impact on policy.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Residency Requirement

Under New York City Administrative Code Section 12-120, you might need to be a resident of the City of New York within 90 days of the date you are appointed to this position.
