The mission of the Bureau of Immunization (BOI) is to prevent the occurrence and transmission of diseases through immunization. The Bureau promotes the immunization of children and adults against numerous diseases such as: Hepatitis B, Measles, Mumps, Rubella, Varicella, Diphtheria, Tetanus, Pertussis, Haemophilus Influenzae Type B, Polio, Human Papillomavirus, Pneumococcal, Influenza, and COVID-19.
Duties will include but not limited to:
- Maintaining the Assistant Commissioner’s daily calendar, scheduling Bureau, Division and Agency meetings as well as meetings with Agency partners.
- Track meeting requests and discuss and schedule meetings as requested.
- Answer and screen incoming calls and route to Assistant Commissioner and Senior Managers as appropriate.
- Schedule and coordinate recurring meetings, soliciting agenda items and ensuring meeting materials are available to all participants.
- Schedule and coordinate Bureau Doctor-of-the-Week schedule.
- Answer incoming calls to the Assistant Commissioner and to Assistant Commissioner, Senior Managers and City Medical Specialists as appropriate.
- Review public inquiries and route to Assistant Commissioner, Senior Managers and City Medical Specialists as appropriate, ensure timely responses to inquiries and track due dates and completion dates.
- Compile weekly and biweekly updates from Unit Chiefs and Senior Managers and submit to appropriate entities.
- Prepare and distribute weekly Bureau newsletter, providing updates to all staff on programmatic and administrative updates.
- Provide administrative assistance to senior staff as assigned.
- Coordinate speaker requests for the Bureau staff.
- Coordinate and participate in special projects as assigned.
- Supervise contracted administrative staff
- Participate in Bureau and Agency emergency preparedness and response activities as assigned.
1. A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
3. A four-year high school diploma or its educational equivalent and six years of
satisfactory, full-time progressively responsible experience as described in "1"
above, 18 months of which must have been in an administrative, managerial,
executive or supervisory capacity. The supervisory work must have been in the
supervision of staff performing clerical/administrative work of more than
moderate difficulty; or
4. Education and/or experience equivalent to "1", "2" or "3" above. However, all
candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above
the high school level may be substituted for the general clerical/administrative
experience (but not for the administrative, managerial, executive or supervisory
experience described in "1", "2" or "3" above) at a rate of 30 semester credits
from an accredited college for 6 months of experience up to a maximum of 3½
years.
