The Teachers’ Retirement System of the City of New York (TRS) is a public pension fund that provides New York City educators with retirement, disability, and death benefits. TRS was established on August 1, 1917 and is one of the largest pension plan sponsors in the United States, with more than $106 billion in assets and over 215,000 active and inactive members, retirees and beneficiaries.
We are seeking a detail-oriented Document Management Clerk to play a crucial role in maintaining accurate demographic information for our members. Demographic information is vital to ensuring proper communication and calculation of benefits. It is imperative that we ensure this data is promptly and correctly entered and any issues are escalated appropriately.
Responsibilities:
- Prep daily mail for scanning (includes removing staples, separating blank and instruction pages, making copies, looking up member info, etc.).
- Scan incoming mail.
- Index scanned documents to correct member casefile using Kofax.
- Prepare batches for on and off-site storage.
- Monitor the incoming work basket activities and process requests in accordance with Service Level Agreements.
- Research data when conflicting information is provided, or system errors prevent the updating of information.
- Organize daily tasks to ensure work is completed and issues are escalated promptly.
- Investigate errors and discrepancies to determine irregularities, issues, or changes in the workload cycle.
- Assist manager and team in demographic updates and other related tasks such as testing issues and creating documentation.
Education Requirement: By the last day of the Application Period you must have a four-year high school diploma or its educational equivalent approved by a State’s Department of Education or a recognized accrediting organization.
- Experience updating demographic information and assuring quality of data. - Knowledge on using systems to update, edit and review membership demographic information. - Knowledge of data standards, including proper form of addresses. - Knowledge of agency standards for demographic updates, including acceptable proof of birth and change of name. - Knowledge of scanning documents, OCR and bar-coded forms. - Knowledge of validating documents. - Excellent attention to detail. - Competencies: Flexibility, Commitment, Effective Communication
