The NYC Department of Environmental Protection (DEP) enriches the environment and protects public health for all New Yorkers by providing 1.1 billion gallons of high-quality drinking water, managing wastewater and stormwater, and reducing air, noise, and hazardous materials pollution. DEP is the largest combined municipal water and wastewater utility in the country, with nearly 6,000 employees. DEP's water supply system is comprised of 19 reservoirs and 3 controlled lakes throughout the system’s 2,000 square mile watershed that extends 125 miles north and west of the City.
The Bureau of Water Supply seeks to hire a Principal Administrative Associate I for a position within the Executive Division and the Water Resources Management Directorate, located in Grahamsville, New York.
The Executive Division of the Bureau of Water Supply is responsible for overseeing all facets of the Bureau’s mission to reliably deliver a sufficient quantity of high-quality drinking water to protect public health and quality of life for the City of New York.
The Water Resources Management Directorate of the Bureau of Water Supply is responsible for supporting the Bureau’s mission by managing the Wholesale and Community Water programs, policy develop and implementation for reservoir releases, and supporting daily reservoir operations and long-term planning by managing an integrated modeling team responsible for water quality, quantity and climate change modeling of the NYC Water Supply System.
Under general supervision, of the Executive Assistant, the selected candidate will serve as Deputy Executive Assistant and will be responsible for supporting the Deputy Commissioner of the Bureau of Water Supply and Director of Water Resources Management with day-to-day administrative tasks. They will manage schedules and travel, prepare and handle correspondence, procurement, and serve as a liaison between the Directorate, the Bureau, the Agency, other Agencies and elected officials, and the general public. Specific duties include:
- Preparing official correspondence and letters
- Tracking correspondence
- Ensuring the Deputy Commissioner is prepared for all daily activities such as meetings, events and trips.
- Assist in managing the calendars for the Deputy Commissioner and Director.
- Maintaining and tracking all files related to the Deputy Commissioner and Directorate’s records management system using both an electronic document storage system and a paper filing system.
- Serving as a liaison with other Directorates, Bureaus, other DEP Personnel and outside agencies
- Coordinating with appropriate staff for all activities including outside governmental agencies. Serving as an official contact for all information regarding the offices of the Deputy Commissioner and Director.
- Aiding in the coordination of all administrative functions of the offices of the Deputy Commissioner and Director with satellite offices in Kingston and Valhalla and other remote locations throughout the watershed. Ensuring there is efficient information flow between the multiple offices.
- Scheduling, maintaining and tracking all travel and expense requests associated with the offices of the Deputy Commissioner and Director.
- Preparing travel agendas and itineraries for the Deputy Commissioner and Director
- Performing special assignments as required.

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
