The Office of Special Events is seeking to hire a Deputy Director. Reporting to the Executive Director of Operations, the Deputy Director would supervise event coordinators. S/he would ensure all proposed event locations (roadways, arterials, sidewalks, and public space), that fall under the jurisdiction of the City are safe for use prior, during, and after events. Oversee and review all Street Activity permits, NYPD Parade permits, Film Office application, Bridge use requests to determine feasibility, extent of impact, street closures, timelines, etc. Direct and/or conduct site visits to perform inspection of proposed sites, to check on the completion of a work order, or make recommendations for course modifications or relocation. Assign and oversee even coverage of events. Liaison with NYPD, Mayor’s Office, Citywide Events Coordination and Management, Street Activity Permit Office, Film Office, Private Event Producers, as well as political and non-profit organizations. Evaluate repairs and ensure required maintenance of event routes. Ensure compliance with work orders/local laws/regulations and completion date. Assist utilities companies and contractors performing work in conflict with event locations in securing permits. Conduct pre and post site visits. Attend meetings (logistics, status, intra and inter-agency coordination, planning, etc.) Review event related requests involving NYCDOT property, fixtures, structures, and jurisdiction. Coordinate such request with various in-house divisions. Requests include but are not limited to the removal, modification, relocation, deactivation, or installation of NYCDOT property such as street lights, poles, electric taps, bollards, signs, bike racks, news racks, muni-meters, roadway markings and lines, adverse use of bridge walkways, bike paths, etc.). Conduct staff meetings. Prepare and conduct presentations. Analyze office practices and procedures to ensure efficiency and integrity. Oversee and prepare the supporting reports, spreadsheets, diagrams, and maps. In the absence of the Executive Director, supervise an administrative staff responsible for reports and correspondence, processing requests, distribution of materials and information, data entry, file maintenance and supervise office staff and field inspectors responsible for citywide inspection of banners.
1. A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
3. A four-year high school diploma or its educational equivalent and six years of
satisfactory, full-time progressively responsible experience as described in "1"
above, 18 months of which must have been in an administrative, managerial,
executive or supervisory capacity. The supervisory work must have been in the
supervision of staff performing clerical/administrative work of more than
moderate difficulty; or
4. Education and/or experience equivalent to "1", "2" or "3" above. However, all
candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above
the high school level may be substituted for the general clerical/administrative
experience (but not for the administrative, managerial, executive or supervisory
experience described in "1", "2" or "3" above) at a rate of 30 semester credits
from an accredited college for 6 months of experience up to a maximum of 3½
years.
**IN ORDER TO BE CONSIDERED FOR THIS POSITION CANDIDATE MUST BE SERVING PERMANENTLY IN THE TITLE OF ADMINISTRATIVE MANAGER, OR BE REACHABLE ON DOT'S PROMOTIONAL LIST*** Preference given to candidates possessing the following: a baccalaureate degree from accredited college in Public Administration, two years of full time professional satisfactory experience within the last five years that demonstrates event/program management and coordination, allocation of resources and the prioritizing of time and resources. Possess a working knowledge of Microsoft Suite, Word, Excel, Access and PowerPoint. Possess an above average working knowledge of Arc GIS and AutoCAD, (mapping software), willingness and ability to support the organizations mission statement regarding safety and security of the public strong analytical skills ability to multi-task and be able to work independently.
