Job Description

Major Responsibilities

- Under general supervision by the Deputy Chief of Staff for Capital Projects, with latitude for independent initiative and judgment, perform difficult and responsible administrative work for the Capital Projects division.
- Receive, process, and track 100+ monthly correspondence messages assigned to the Capital Projects division, including messages routed by the Parks Commissioner’s office and those received via letter, email or phone call from constituents.
- Research and compose accurate and clear correspondence for constituents on behalf of the Parks Commissioner and Deputy Commissioner for Capital Projects before established deadlines.
- Work in tandem with other Agency and division staff to compose and issue correspondence that meets Agency and division standards and close out correspondence in the Agency tracking system.
- Correspond and interact with constituents via letter, email and telephone to answer questions and resolve issues in a professional and timely manner.
- Assist with the maintenance and development of correspondence templates and tools with particular focus on high-profile projects, maintaining excellent grammar and close attention to detail.
- Perform basic statistical reporting on correspondence trends and response times and record responses to inquiries in the established filing system.
- Assist with the copy editing of documents before the release to the Agency and/or public.
- Assist Chief of Staff and Deputy Chief of Staff with preparation and review of information for media inquiries and elected officials, coordinate materials for New York City Council hearings and represent the division at meetings with elected officials as needed.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.


Preferred Skills

1. Exceptional reading, writing, and editing skills. Attention to detail and familiarity with online databases is required. 2. Strong knowledge of Agency structure, divisions and policies/or government operations. 3. Excellent administrative, communication and interpersonal skills. 4. Proficiency in Microsoft Word, Excel, Access, PowerPoint and SharePoint. 5. Valid New York State driver license.
Residency Requirement

Residency in New York City, Nassau, Orange, Rockland, Suffolk, Putnam or Westchester counties required for employees with over two years of city service. New York City residency required within 90 days of hire for all other candidates.
