OR ELIGIBLE UNDER THE 55A PROGRAM.****

Under supervision, Clerical Associate level IV will serve as office support and perform moderately difficult and responsible clerical duties for RRM’s new Milling Contract Management Unit. Duties include: Responsibly seek and secure accurate information related to contracts, contractors, and subcontractors for the purposes of monitoring, processing, reporting, reimbursement claims, and to facilitate payment. Perform data entry and date retrieval. Assist unit staff members. Perform timely filing of paper documents; operate copier, scanner, and fax-machine. Duties will also include: Utilize Microsoft Word, Excel, Access, and in-house data bases. Perform data entry and data retrieval (contractor profile, contract specifics, timesheets, permit info/status, etc.) Take appropriate action to secure missing paperwork; when necessary, interface with external units and private contractors/representatives. Serve as principal assistant to the Project Manager. Prepare correspondence, agendas, reports, and charts. Provide related/incidental and special work-related assistance to the Administrative Engineer, the Inspectors, Civil Engineers, and Apprentices. Request office supplies, request office machine service. Respond to telephone inquiries, take messages and re-direct calls when necessary. Operate multiline telephone. Distribute incoming mail; assemble outgoing special packages. Perform file maintenance, operated copier, scanner, and fax machines. May perform receptionist duties.

Minimum Qualifications

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
