THE DIVISION
The Executive team coordinates the policy direction and management of the Department of City Planning. The team consists of the Office of the Director, Office of the Executive Director, Office of the Chief Operating Officer, the General Counsel and Communications and Intergovernmental functions. The team is responsible for setting the vision of the Department and directing resources to accomplish our goals.
This motivated team works closely together and across all planning and support divisions to support a diverse set of activities that advance our mission to plan for the City of New York.
THE ROLE
The Executive Office is seeking a highly motivated professional with deep experience in government and political contexts to advise the Director/Chair and the Executive Director in the management of the Department and the advancement of strategic initiatives and priorities.
The role requires direct engagement with all divisions within the Department of City Planning, as well as coordination with City Hall and across other NYC agencies.
The Chief of Staff will be able to work independently and nimbly within a team, and is exceptional at communicating insights through writing, presentations, and compelling data visualizations to wide ranging stakeholders with differing perspectives.
MAIN RESPONSIBILITIES
- Act as a senior level adviser to the Director/Chair and to the Executive Director
- Supervise Intergovernmental Affairs and Communications Team
- Serve as liaison with City Hall to ensure Administration priorities are carried out by the Department.
- Troubleshoot, participate in crisis management, ensure clear communication across the Department.
- Ensure that the decisions and policies of City Planning leadership are implemented and executed across various divisions and programs within the Department.
- Prioritize, coordinate, and develop agendas and ensure effective follow-ups for internal and external meetings.
- Convene and direct inter-department groups to address problems and pursue initiatives that cut across divisional responsibilities.
- Build and manage external relationships with industry and community partners, elected officials and other key stakeholders.
- Develop policies, protocols, and standards on programmatic and administrative matters to improve efficiency and strengthen agency capacity.
- Assist in the recruitment and hiring of key agency leadership positions.
- Supervise and provide overall direction to staff in the Director/Chair’s office, including scheduling, correspondence and advance.

EXECUTIVE ASSISTANT FOR PLANNI - 13255
1. A baccalaureate degree issued upon completion of a four year course of study in an accredited college or university and five (5) years of responsible, full-time experience in a governmental agency, business or law firm, civic organization, or educational institution, in planning, administration, labor relations, or related work of which four (4) years must have been in an executive capacity; or
2. A satisfactory equivalent, but all candidates must possess a baccalaureate degree, and must possess not less than the four (4) years of executive experience required.
Graduate study in planning, law, labor relations, public administration, or an acceptable equivalent field, may be substituted for the general experience required, on a year-for-year basis.
- Extensive experience working in the public sector, preferably within a large, complex municipality such as New York City or a comparable jurisdiction - Strong understanding of New York City politics, government operations, and media landscape, as well as policy areas relevant to the work of the New York City Department of City Planning - Demonstrated experience advising senior leadership serves as a trusted advisor with sound judgment and discretion, and the ability to handle sensitive and confidential matters - Ability to operate effectively in a fast-paced, high-stakes environment with competing priorities - Excellent written and verbal communication skills, including the ability to produce clear, persuasive memos, briefings, and other key materials for diverse audiences - Strong strategic thinking skills, with a demonstrated ability to translate executive priorities into actionable initiatives - Proven ability to build, manage, and sustain strong relationships with internal and external stakeholders, including elected officials, civic leaders, advocacy organizations, and partner agencies - Strong project management and analytical skills to aid decision-making and execution - Experience supervising and leading high-performing, cross-functional teams
