Family Independence Administration's (FIA) provides temporary help to individuals and families with social service and economic needs to assist them in reaching self-sufficiency via essential and diverse programs/services, such as: temporary cash assistance, SNAP, childcare, eviction prevention services, adult protective services, job training, employment plans/support, domestic violence assistance, child support enforcement, etc.
The HRA Office of the Chief Program Officer (OCPO) oversees the Family Independence Administration (FIA), the Office of Child Support Services (OCSS) and Supportive Programs and Initiatives (SPI). OCPO works with these divisions and internal and external partners to develop, amend, and implement policies, multi-year plans and operational improvement strategies for the Cash Assistance (CA) Program, Supplemental Nutrition Assistance Program (SNAP), Home Energy Assistance Program (HEAP), Child Support Program, Burial Services and Fair Fares Program within New York City.
Under the general direction of the Chief Program Officer the incumbent manages comprehensive calendars: scheduling appointments, meetings, interviews, events, and anticipating needs for the Chief Program Officer and other key members of the Chief Program Officer's office. The incumbent is able to perform complex tasks with limited supervision as well as meet deadlines and manage multiple priorities in a timely manner.
FIA Operations is recruiting for one (1) Principal Administrative Associate III, function as an Assistant to the Chief Program Officer, who will:
- Address a broad range and high volume of priorities, questions, and issues as they arise
from both internal and external staff members and clients, and accurately determines the
appropriate follow up action. This can often involve urgent and sensitive information;
escalates to upper management when needed.
- Liaise with elected officials' offices, legal advocacy groups, community-based organizations,
and public to assist with addressing client issues and agency business practices.
- Support the Chief Program Officer with managing internal and external priorities and provides
administrative support to FIA, OCSS and SPI with priority assignments as necessary.
- Document, facilitate, and track complaints routed to the Office of the Chief Program Officer
by various sources, including clients, elected officials and legal advocacy groups.
- Manage comprehensive calendars: scheduling appointments, meetings, interviews, events,
and anticipates needs for the Chief Program Officer and other key members of the Chief
Program Officer’s office.
- Ensure the Chief Program Officer's travel needs are taken care of, including coordinating,
booking, and submitting travel packages.
- Provide administrative support and office management including ordering supplies and
ensuring office equipment is maintained and service.
- Ensure that the Chief Program Officer has all relevant materials in advance of their meetings
and events.
- Work with DSS staff to coordinate all office management requests such as technology needs,
facilities, office supplies and logistic support for large scale meetings such as with senior staff
that may require catering and working with external speakers.
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
- Excellent oral and written communication skills. - Exceptional interpersonal skills and judgment. - Ability to think creatively and develop solutions to intricate problems. - Ability to work independently and within a fast-paced environment, as well as part of a collaborative team environment. - Familiarity with HRA programs and proficiency in WMS. - Proficiency in Microsoft Outlook, Word, Excel, and Power Point.
