In order to be considered for this position candidate must be serving permanently in the title of Principal Administrative Associate, or be reachable on the Department of Transportation’s promotional Principal Administrative Associate list, or be eligible under the 55a program.

Electrical Operations is seeking an Administrative Supervisor-PAA L3 to assist the Electrical Operations Executive staff on administrative management for 80 staff members throughout 10 field locations within all five boroughs. This candidate will report to the Director of Electrical Operations and will be responsible for managing the Electrical Operations administrative office, supervising five (5) administrative staff, managing the staff’s daily attendance, and tracking the vehicle management within the unit. The successful candidate will liaise with staff in other units such as: division personnel – city time issues, WC/leave issues; training and professional development - coordinating compliance training in the field throughout the five boroughs and CDL trainings; Fleet Services – coordinating EO’s fleet of approximately 50 medium and light vehicles for preventative maintenance, NY State inspections, and/or addressing related issues as they arise. The successful candidate will prepare weekly and quarterly overtime reports and analysis; maintain vehicle spreadsheets; prepare overtime justification memos for D/C review and signature; handle scheduling for the EO’s executive staff. Will assist the procurement analyst on material/budget coordination and the industrial hygienist ensuring all field and work sites are following appropriate health and safety protocols. In addition, the successful candidate will be responsible for coordinating the preparation and review of yearly performance evaluations, and monitor/track absence control calendars. May perform special projects as needed.


This position may be eligible for remote work up to 2 days per week, pursuant to the Remote Work Pilot Program agreed to between the City and DC37.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

- Excellent verbal, strong writing, organization, and oral communication skills. - Strong computer knowledge of Microsoft Office suite.
