Job Description

The Administrative Supervisor oversees the data entry, Customer Relationship Management (CRM), and the customer support functions of the Elevators Inspections team. Assists the public and ensures coverage of services provided. This includes internal and external stakeholders: licensed professional, filing representatives, approved agencies, DOB staff, other City Agencies, property owners, etc. with understanding the compliance rules of the City of New York, with respect to owning, installing and maintaining elevators under DOB jurisdiction.

The NYC Department of Buildings Elevators Inspections seeks an Administrative Supervisor to work in a high volume, fast paced environment to provide customer support through incoming IVR calls, email correspondence, IQ Help Tickets, and various DOB NOW electronic platforms.

The responsibilities include:
- Plans, assigns, and reviews the work of subordinates, and is responsible for the satisfactory completion of their work.
- Reconciles DOB Analytics Reports to ensure Service Levels are maintained and Inspection Reports are resubmitted.
- Participates and assists with the scheduling and coverage of IVR and IQ platforms. Assists to maintain and ensure adequate coverage across all business hours.
- Reviews and follows extensive training materials about the DOB NOW system and the Department of Buildings operations and translates knowledge to customers to resolve their technical and procedural inquiries.
- Participates in ongoing training activities to acquire and maintain the knowledge necessary to support DOB NOW and other unit related service operations.
- Coaches and trains staff on Unit operations.
- Escalates customer inquiries as needed and provides the necessary follow-up.
- Functions related to payments, tracking, refunds, violation issuance, research and processing support.
- Assists unit with Suspended Special Assessments/Fee Recovery.
- Assists with FOIL and Subpoena Requests.
- Completes work related to occupancy requests, reviews, and signoffs.
- Performs additional functions at the request of the Director and Deputy Director.

REMOTE WORK
This position may be eligible for remote work up to 2 days per week, pursuant to the Remote Work Pilot Program.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
