The New York City Department of Health and Mental Hygiene (NYC DOHMH)’s Bureau of Hepatitis, HIV, and Sexually Transmitted Infections (BHHS) oversees the City’s response to viral hepatitis, HIV, and sexually transmitted infections (STIs). Across a range of programs and through extensive collaboration with other parts of NYC DOHMH and external stakeholders, BHHS leads testing initiatives; prevention, care, and treatment programming; epidemiology and surveillance; research and evaluation; training and technical assistance; community engagement; social marketing; policy advocacy; and racial equity and social justice initiatives. BHHS’s HIV Care and Treatment Program (CTP) is the recipient of federal grants for HRSA’s Ryan White HIV/AIDS Program (RWHAP) Part A and HUD’s Housing Opportunities for Persons with AIDS (HOPWA). CTP is comprised of five units:1) Administration, 2) Program Planning, 3) Quality Management and Program Implementation, 4) Research and Evaluation, and 5) Housing Services.
-Provide administrative support to ensure efficient operations of CTP and HSU.
-Carry out administrative duties such as filing, copying, scanning of documents, and drafting meeting agendas.
-Manage calendars by scheduling meetings, webinars and quarterly provider forums including event management by sending invites to upcoming events, reminder emails and managing
invitee/attendee list.
-Draft and disseminate email correspondences to Ryan White Part A housing services and HOPWA programs.
-Manage the housing services email inbox for mass communications to HSU external partners including maintaining updated list of program contacts.
-Organize and maintain files in the shared drive in an organized manner to ensure accessibility.
-Coordinate travel arrangements for senior staff of CTP such as booking flights, hotel reservations, car rentals, ground transportation and/or restaurant reservations.
-Maintain office supplies inventory and place orders for CTP.
-Assist with verifying all submitted information for accuracy and generate reports, as needed.
-Tracks and maintains records of all housing vendor litigation for HSU.
-Monitor the scheduling of interviews for applicants; preparation of hiring paperwork; onboarding staff and inactivating staff.
-Perform ad hoc duties and participate in special projects/assignments, as needed.
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
-Superior knowledge and use of mainstream web-based conferencing platforms (e.g., Microsoft Teams, Webex, Zoom) as well as Microsoft Office 365 (Word, Excel, Access, Outlook, PowerPoint, and Visio) and Adobe Acrobat. -Excellent written, oral, and interpersonal skills. -Outstanding organizational and project management skills. Keen attention to detail, ability to handle multiple, at times conflicting, priorities efficiently and effectively. -Exceptional relationship-building and influencing skills. -Possess a high level of emotional intelligence and good character. -Exercise independent judgement and apply analytical skills to address complex problems.
