In order to be considered for this position, candidate must be serving permanently in the title of Administrative Manager, or be reachable on DOT’s promotional list for Administrative Manager Exam #1552, or eligible under the 55a program.
The Parking Facilities and Capital Projects Group is seeking to hire an Administrative Manager who is highly skilled and qualified to perform the following tasks, which may include additional administrative duties:
- Oversee the day-to-day operation of administrative work to ensure continuity of processes, maintain productivity and ensuring personnel adhere to DOT Code of Conduct and other regulations of Unit.
- Coordinate all functions of HR related processes and handle timely responses of Arts correspondence.
- Properly collect and maintain relevant data weekly on all activities for the Parking Facilities group.
- Ensure reports are updated and maintained correctly in a timely manner.
- Proactively identify and address any issues relating to personnel and administration in a timely manner.
- Supervise and assign administrative and personnel duties to staff; PAA and Clerical Associates.
- Assist in preparing various reports on operational, unit charts and other data related documents.
- Assist in the preparation of all contract documentation, including garage contracts and funding requests. Handle contract compliance and vendor responsibility.
- Assist in all functions related to procurement of engineering and other materials and contract actions for the unit including cost effective material planning, timely resourcing, and inventory management.
- Duties may include other administrative tasks not listed.

1. A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
3. A four-year high school diploma or its educational equivalent and six years of
satisfactory, full-time progressively responsible experience as described in "1"
above, 18 months of which must have been in an administrative, managerial,
executive or supervisory capacity. The supervisory work must have been in the
supervision of staff performing clerical/administrative work of more than
moderate difficulty; or
4. Education and/or experience equivalent to "1", "2" or "3" above. However, all
candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above
the high school level may be substituted for the general clerical/administrative
experience (but not for the administrative, managerial, executive or supervisory
experience described in "1", "2" or "3" above) at a rate of 30 semester credits
from an accredited college for 6 months of experience up to a maximum of 3½
years.
- Detailed oriented highly organized, self-motivated possess excellent verbal and writing skills. - Experience using Microsoft Word Excel, Access, Visio, FMS, and Passport.
