Job Description

The Office of the District Attorney, Bronx County (“BXDA”) is charged with the twin goals of ensuring public safety and striving for equal justice for the over 1.4 million members of the Bronx County community. By “Pursuing Justice with Integrity,” the BXDA places a focus on assistance for crime victims while simultaneously ensuring fairness to defendants. Moreover, the BXDA aims to balance the need to seek appropriate punishment for certain crimes while recognizing when punitive measures do not adequately advance justice. By recognizing these significant distinctions and acting accordingly, BXDA has established a standard of excellence in the representation of the Bronx community at large, which continues to grow stronger every day.
In furtherance of this mission, the BXDA seeks experienced and enthusiastic Administrative Director of Operations in the Operations Division.


Job Responsibilities:
Specific duties will include, but are not limited to the following:


- Address work-related issues raised by management and professional staff / Mediate Employee concerns.

- Handle and respond to administrative requests from Operations division department

- Work closely with HR regarding progressive discipline for Operations professional staff, follow-up on HR matters.

- Meet monthly 1:1 with Supervisors to discuss employee work productivity, workflow and/or any potential concerns involving Operation professional staff members.

- Meet with professional staff regarding performance concerns.

- Create & track internal transfer memos for Operations.

- Track log numbers & vacancies for Operations.

- Monitor, distribute and review annual and quarterly performance evaluations for Operations professional staff.

- Track separated employees and new staffing request.

- Track, distribute, and monitor time and attendance issues, and memos including, but not limited to lateness, doctor restrictions and City Time.

- Create and distribute task and standards.

- Conduct random (meeting) check-ins with professional staff.

- Review and monitor professional staff on Performance Improvement Plans (PIPs).

- Review and approve requests for overtime and requests for shift adjustments/changes.

- Identify professional staff members in need of additional training.

- Serve on interview panels for the BXDA office.

- All other duties to be assigned.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and four years of satisfactory, full-time progressively responsible clerical/administrative experience requiring independent decision-making concerning program management or planning, allocation for resources and the scheduling and assignment of work, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and five years of satisfactory, full-time progressively responsible experience as described in "1" above, 18 months of which must have been in an administrative, managerial, executive or supervisory capacity. The supervisory work must have been in the supervision of staff performing clerical/administrative work of more than moderate difficulty; or
3. A four-year high school diploma or its educational equivalent and six years of
satisfactory, full-time progressively responsible experience as described in "1"
above, 18 months of which must have been in an administrative, managerial,
executive or supervisory capacity. The supervisory work must have been in the
supervision of staff performing clerical/administrative work of more than
moderate difficulty; or
4. Education and/or experience equivalent to "1", "2" or "3" above. However, all
candidates must possess the 18 months of administrative, managerial, executive or supervisory experience as described in "1", "2" or "3" above. Education above
the high school level may be substituted for the general clerical/administrative
experience (but not for the administrative, managerial, executive or supervisory
experience described in "1", "2" or "3" above) at a rate of 30 semester credits
from an accredited college for 6 months of experience up to a maximum of 3½
years.


Preferred Skills

- At least two years of Supervisory experience in the Operations field. - A valid New York State driver’s license and a minimum of two years of driving experience are required license must be maintained for the duration of employment. - High Data Entry skills. - Experience in project management and logistics. - Candidates must be highly skilled in standard operating systems and software (Windows, Microsoft Office, Excel, Word and PowerPoint). - Must be detail-oriented with superior organizational, analytical, writing, and communication skills. - Ability to utilize strong communication skills to effectively communicate with all levels of the agency. - Ability to resolve conflicts and multitask Strong attention to detail, deadlines, confidentiality, and organization. - Strong project management skills in a team-oriented environment.
