Job Description

The Administrative Coordinator will perform administrative tasks for both the Hazardous Reinspections and Request for Corrective Action Reinspections programs. This includes reinspection fee billing coordination with Financial Management. The Administrative Coordinator will assist in implementation and review processes to maximize effectiveness, efficiency, and reporting compliance with this initiative.

The Administrative Coordinator’s responsibilities include, but are not limited to:
- Providing administrative support to the Director of Special Operations
- Reviewing inspection results for qualified billing; aggregating results, tracking reinspections, and coordinating with the Fiscal Operations for monthly billing of appropriate inspection fees.
- Performing back-end quality control and programming of day-to-day inspector routing with available auto routing software to match inspections.
- Tracking and reporting violations which have been reinspected, found to be corrected and may be eligible to be referred to the Administrative Enforcement Unit (AEU) for certification of correction analysis.
- Preparing productivity, status, and progress reports for the Director, Assistant Commissioner, and Senior Staff on a regular basis.
- Communicating changes in agency policy and procedure to staff, and unit’s standards such as Standard Operating Procedures (SOP), including training and ensuring compliance of the employees in Special Operations.
- Performing other duties and tasks, including data entry, as requested.
- Ensuring appropriate workload and productivity of administrative staff; assisting in training and reviewing work product to ensure the quality and timeliness of work product.
- Coordinating communications and information between various units and responding to inquiries from the public concerning inspection records or actions taken by the unit.
- Utilizing various databases and web-based programs to verify and gather information and research public records.

Minimum Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.


Preferred Skills

- Demonstrated high level proficiency in Microsoft Excel including, but not limited to, using advanced functions and pivot tables - Excellent written and verbal communication skills

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
