NYC Department of Finance (DOF) is responsible for administering the tax revenue laws of the city fairly, efficiently, and transparently to instill public confidence and encourage compliance while providing exceptional customer service.
DOF’s Finance Information Technology (FIT) Division designs, builds, and supports all facets of DOF’s computer systems, including hardware, software, applications, infrastructure, telephone, and data security. FIT delivers and administers tax-related payment programs for the City of New York by providing the information technology solutions needed to achieve its mission of collecting revenue while ensuring an efficient and improved customer experience. FIT is also responsible for the systems and websites which enable citywide payments, land records, property assessment, parking adjudications, customer service, and the Sheriff’s public safety work.
FIT is currently seeking an Administrative Assistant for the Office of the Chief Information Officer (CIO) and Deputy Commissioner. Reporting to the Administrative Operations Manager, the successful candidate will play a pivotal role in assuring the smooth operation of a busy Division which employs more than 200 technologists. The Administrative Assistant will perform critical, professional office administration and support for the FIT Division.
Responsibilities will include but not be limited to the following:
-Coordinate the CIO/Deputy Commissioner's comprehensive calendar.
-Serve as division coordinator for agency-wide employee engagement initiatives and programs for the division including trainings.
-Assist with the office-related on-boarding process of new staff, consultants and interns such as coordinating the request for IT equipment, software, seat assignment, and communicating their first day reporting logistics. In addition to assisting with the off-boarding process such as submitting requests to deactivate network accounts, collecting DOF IDs and equipment.
-Coordinate updates for the division's intranet site/webpage to ensure information is reviewed, updated and posted in a timely fashion.
-Perform data entry and maintain Division-related spreadsheets as requested; track and log data as needed.
-Perform complex tasks as well as meet deadlines and manage multiple priorities in a timely manner.
-Assist with the high school apprentice, summer internship, and mentor programs logistics/needs for the division.
-Ensure the office runs efficiently by overseeing organization, supplies, and equipment maintenance.
-Improve, monitor and maintain the division’s office supply inventory/storage; order, prepare and receive supplies and materials for multiple locations.
-Interface with the Facilities team concerning workspace needs.
-Serve as backup to the Administrative Operations Manager.
-Perform ad-hoc assignments and special projects as needed.

This position may be eligible for remote work up to 2 days per week, pursuant to the Remote Work Pilot Program agreed between the City and the Collective Bargaining Unit representing employees serving in the civil service title
PRINCIPAL ADMINISTRATIVE ASSOC - 10124
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
-Exceptional communication, organization, and computer skills. -Demonstrated ability to handle confidential matters with the utmost professional discretion. -Experience in independently and effectively managing multiple responsibilities. -Familiarity with IT terminology and willingness to learn emerging areas. -Successful office management experience is a plus. -Proficient in Microsoft Office Suite experience including Excel, Outlook, PowerPoint, SharePoint, Teams, and Visio.
