Under general supervision, with wide latitude for independent initiative and judgment, serves as an administrator in the DOT Office of Safety Education and Outreach (SEO), handling a variety of complex administrative tasks to support the day-to-day operations of education and outreach programs conducted by SEO. Responsibilities will include: managing a database to run weekly and monthly program activity and other reports; updating the unit’s calendar of public events; handling staff requests for program materials and supplies; tracking usage of materials and supplies on an inventory database to ensure adequate supplies are in hand; ensuring printed materials are in stock and printed in a timely manner; and managing vehicle assignments on the calendar and ensuring they are rotated weekly. The PAA will also work with Fleet to maintain the SEO fleet of vehicles and arrange for vehicle maintenance as needed; oversee the care and storage of specialized equipment used for outreach programs and ensure necessary equipment is operational prior to special events; and work with DOT IT&T to address equipment-related issues. Other responsibilities will include: scheduling field staff for helmet-fitting events with the public; responding to inquiries from the public and other agencies and organizations via written correspondence, telephone, DOT Customer Service Unit emails, and walk-in inquiries; directing members of the public to the appropriate SEO staff for additional information; scheduling internal and external meetings and interviews; and performing related tasks as needed.
IN ORDER TO BE CONSIDERED FOR THIS POSITION CANDIDATE MUST BE EITHER SERVING PERMANENTLY IN THE TITLE, OR REACHABLE ON THE CIVIL SERVICE LIST, OR ELIGIBLE UNDER THE 55A PROGRAM.
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
Proficiency with Microsoft Office is strongly preferred experience administrating multi-agency programs a plus knowledge of Vision Zero a plus.
