The Bronx District Attorney’s Office is seeking well-qualified staff whose diverse backgrounds reflect an ability to serve the over 1.4 million members of the Bronx County community and pursue a safer Bronx through fair justice. The Adolescent Offender Unit is seeking an Administrative Assistant, who, under the supervision of the Supervisor and Grand Jury Chief and with latitude for independent judgment and initiative will provide complex administrative support.
JOB RESPONSIBILITIES:
Organize the Chief’s and two (2) additional Assistant District Attorneys’ (ADA) schedules, plan meetings and events
Maintain and produce multiple computerized spreadsheets, pivot tables, and reports
Creates excel spreadsheet record as the cases come into the complaint room, are arraigned in the Youth Part, are removed to the Family Court, and are retained by BXDA
Assist in preparing written material, including confidential and sensitive documents
Answer and screen telephone calls by determining the nature of the request and responding appropriately
Collects and retains all folders for removed cases for creation of sealed storage.
Creates daily calendar from BXDA, NYPD and OCA databases.
Act as coverage for the Grand Jury Administrative Assistant when out on Vacation or sick
Order supplies
Create and maintain a filing system
Support Indictment Clerk and perform other clerical duties when needed
Serve as liaison to a variety of internal and external resources , providing timely and accurate information
All other relevant duties as designated by supervisory staff
QUALIFICATIONS:
A Bachelor’s degree or a High School diploma/GED and four (4) years of prior work experience in a law firm, governmental agency, civic or community organization
Ability to maintain a strict order of confidentiality and handle issues in a discreet manner
Exceptional organizational skills and strong attention to detail
Excellent interpersonal, oral, and written communication skills
Proficient in Microsoft Office particularly Word, Excel (especially Pivot Tables), and Outlook
Ability to work in a fast-paced environment
Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.
