PROGRAM AND JOB DESCRIPTION:
The Bureau of Alcohol and Drug Use Prevention, Care and Treatment (BADUPCT) works to close gaps and reduce overall morbidity and mortality related to alcohol and substance use among New Yorkers. BADUPCT develops, implements and evaluates interventions and prevention strategies through contracting of treatment, recovery and support services; policy analysis and development; epidemiology and surveillance; dissemination of treatment and management guidelines; harm reduction initiatives; public and provider outreach and education; and community involvement and interagency collaboration. The Bureau amplifies the voices of those most impacted and focuses on inequitable structural, social, service, and communication factors that drive disparities.
The Overdose Education and Naloxone Distribution Unit (OENDU) develops and implements initiatives to reduce and prevent opioid overdose deaths in New York City. The Unit provides naloxone, training, and technical assistance to over 311 Opioid Overdose Prevention Programs (OOPPs) across New York City. OOPPs provide community-based overdose prevention, recognition, and response education and distribute naloxone directly to community members. In addition, OENDU provides contract management, fiscal, technical, and programmatic support to at least 28 contracted OOPPs.
Job Description: The Administrative Assistant is responsible for programmatic support to the daily activities of OENDU with the goal of preventing overdose deaths in New York City.
Under general direction from the supervisor, the Administrative Assistant will work collaboratively with OENDU staff and perform the following tasks:
- Coordinate day-to-day program activities, including answering phones, scheduling meetings, filing, copying, emailing, assisting staff with information requests, and intern recruitment.
- Coordinate program meetings with internal staff and external partners, and book rooms for meetings
- Support management of the Naloxone, Reports and Pharmacy inboxes and related data entry and data management for corresponding databases
- Work with OENDU staff to maintain up to date online resources related to naloxone, harm reduction and overdose prevention; manage online registrations for Overdose Prevention Trainings.
- Provide support for packing and mailing of naloxone kits and training related materials and maintain appropriate records for all kits and material mailed and dispensed
- Participate in OENDU meetings, including facilitation on a rotating basis
- Participate in bureau- and agency-wide activities for advancing racial, gender, and social equity and support efforts to center equity in OENDU’s work
- Other duties or tasks may be assigned on an as-needed basis.
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
- Openness to the principles of harm reduction practice and theory, including syringe exchange, overdose prevention and education, harm reduction strategies, and education for HIV and Hepatitis C prevention. - Excellent organizational and coordination skills and attention to detail. - Ability to effectively engage people who use and inject drugs and their service providers in a non-judgmental manner. - Cultural humility in supporting people of various ethnic, racial, and cultural backgrounds, gender identities, sexual orientations, socioeconomic conditions, and histories of recovery.
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
